Major Responsibilities:- Colon and Rectal Administrative Support
- 1)Has the primary responsibility for the management of the Colon and Rectal Surgery office and practice operations.
- 2)Provides administrative support to all practice staff, providers and Director (e.g. scheduling meetings, developing agendas, documenting minutes and coordinating meetings and other events).
- 3)Maintains associate documentation for coaching and assists with performance reviews. Trains new staff on office protocols and job responsibilities.
- 4)Takes the lead on special projects such as accrediting survey preparation, Magnet survey preparation, etc. Activities to include mock surveys, evaluation of preparedness, ongoing prep meetings, etc.
- 5)Provides support to Patient Service Representatives in the department as needed.
- 6)Oversees schedule for cancer center conference room.
- 7)Responsible for the daily workflow of the office. This may include direction, orientation, educational needs, performance reviews and disciplinary functions of designated staff.
- 8)Oversees schedule for practice staff and provider.
- 9)Assist with ordering, tracking and maintaining product inventory, replenishing and dispersing supplies to ensure all areas are appropriately stocked and supplies are readily accessible.
- 10)Works with other departments to ensure the cooperation and productivity of staff to improve outcomes.
- Data analysis
- 1)Responsible for data analysis and report generation for Revenue Cycle report needs related to the Colon and Rectal Surgery Department. Generates needed reports using IDX, Allegra, and other applications to meet specialized requests.
- 2)Collates Patient Satisfaction data.
- 3)Creates reports related to clinic practice performance improvement, KRAs, etc.
- 4)Coordinates coding responses and follow up as needed
- 5)Provides special project support to Revenue Cycle as needed.
- 6)Prepares performance reports and dashboards under the direction of Director.
- Special projects
- 1)Provides administrative oversight for clinic related events e.g. patient webinars, MD networking events, etc. Includes planning, billing, working with vendors, scheduling volunteers, partnering with Marketing, Development and Community Relations.
- 2)Provides administrative support for community partnerships with the related patient advocacy groups and other partners.
- 3)Provides administrative support for any special events, e.g. donor events.
Education/Experience Required:
- Associates degree 3-4 years in administrative assistant function. 1-2 years of experience in ambulatory care.

Physicial Requirements and Working Conditions:
- Work is performed primarily in a fast paced hospital based outpatient environment. Incumbent is expected to periodically travel to various practices, including off campus locations. The practices are clinical environments so there is potential exposure to sick patients. The Digestive Health Clinic encompasses multidisciplinary operations and programs throughout the campus and in the community. The incumbent is expected to demonstrate the utmost professionalism in written and verbal communication.
