Job Summary
The Construction Project Coordinator at Timbervine Group is responsible for overseeing the major construction scheduling, vendor management, payment processing and general administration of the contractors in the field. This role works very closely with the property management, brokerage, and maintenance teams in developing long-term schedules for property turns and sale-ready construction.
Duties include maintaining construction schedules, adjusting construction assignments as directed by the management team, gathering, and collaborating with vendors, and backing up the maintenance and property management team when needed. Additionally, this role includes a number of administrative tasks related to gathering and organizing invoices, inspections, reports, and working with accounting to schedule out payments and billing.
Key Responsibilities
- Collaborate with the field technicians, vendors, and contractors to keep all construction tasks on schedule.
- Arrange and coordinate inspections of properties to prepare for construction projects.
- Assist the Property Management and maintenance teams in major rehab/turnovers of properties to make rent ready.
- Communicate with management and brokerage regarding timelines and develop long-term schedules for property construction projects.
- Maintain and organize all documentation related to construction.
- Vet and gather additional vendors in multiple markets.
- Project setup and takeoff, preparation and organization of all details, docs, requirements and plans for the field superintendent and/or vendors.
- Ordering and maintaining inventory of materials, tools, equipment, and recurring costs.
Qualifications
- Education: High school diploma required; college degree preferred.
- Experience: Minimum of 2 years of experience in any of the following fields: Construction administration, construction project management, maintenance scheduling, and/or property management.
- Skills:
- Strong proficiency with project management software (e.g., BuilderTrend or similar)
- Understanding of construction budgets, splits and tracking through the entire project timeline.
- Proficiency in Microsoft Office Suite, especially Outlook and Excel.
- Experience with online signature services (e.g., DocuSign).
- Ability to read and understand legal documents, such as construction contracts and vendor agreements.
- Knowledge of general code requirements for residential property construction.
Preferred Qualifications
- Experience using CRMs (e.g., HubSpot) and Property Management software (e.g., RentManager).
- Experience with cloud storage services.
- Familiarity requirements for getting properties rent-ready.
- Experience dealing directly with municipalities and counties to gather information and documentation needed for projects.
- Knowledge of municipal, county, and state compliance requirements.
- Certification: Real Estate License and/or Property Management Certificate, Project Management Professional or other construction/project management certs are all highly preferred.
Salary and Benefits
- Salary: $60,000 per year.
