Inspire health. Serve with compassion. Be the difference. Job Summary The GME Office Manager reports to the Executive Director of GME Administration and Operations. The Office Manager provides additional office support to both the Executive Director and other GME Office leaders through process implementation, daily office tasks, etc. The Office Manager serves as a professional development liaison for onboarding new hire GME administrators and assistants, supporting program faculty during transition and expansion periods, and maintaining the daily functions of the GME office including time keeping duties, website maintenance, and record keeping duties. Oversees human resources functions pertaining to supervised positions, including joint hiring of new medical residency and fellowship training program administrators and program assistants, overseeing annual evaluation of team members, provide orientation and ongoing professional development, and deliver managerial support of team members reporting to the GME office. Support the Executive Director and Regional DIOs by actively participating in the ongoing development and implementation of projects and procedures that perpetuate continuous program improvement and maintain accreditation standards. Support GME programs in building collaborative relationships between Program Directors, Program Administrators, and the House Staff. Develop and implement educational content for the department including the program administrator curriculum and educational series. In conjunction with GME Office guidelines, manages the daily financial reimbursement of program administrator, program assistant, and house staff expenses. Monitor completion of learning Hub assignments and life-saving certifications in conjunction with program administrators. Continually updates knowledge of Prisma Health’s residency management software (RMS) and recruitment software to provide leadership and support for troubleshooting, as needed, and providing training to new and current users in the system. Serves in leadership role for assigned GME committees and subcommittees. Collaborates with other system leaders, team members, departments, and institutions on common areas of responsibility. Under the direction of the Executive Director, serves as the GME office representative for program administrators and acts as a first point of contact. Collaborates with the GME Institutional Coordinator and/or Director, PDs and PCs in the preparation for ACGME Site Visits and internal reviews. Performs other duties as assigned. Supervisory/Management Responsibilities This is a supervisor job which may have direct supervision of team members which may include hire/termination authority, disciplinary authority, and performance management responsibilities. May have budget input or responsibilities. Job is not considered a member of management staff. Minimum Requirements Education - Bachelor’s degree. Master’s degree in business administration, HR, communications, or related field preferred. Experience - Three (3) years of professional/administrative experience. In Lieu Of Equivalent combination of education and experience may be considered. Required Certifications, Registrations, Licenses Valid driver’s license, an acceptable motor vehicle records as defined by the Acceptable Motor Vehicle Record (MVR) Chart, and a certificate of auto insurance Knowledge, Skills and Abilities High level of computer skills and applications required. Post High School courses in Computers or Office Technology Experience with New Innovations Residency Management Software Knowledge of GME and ACGME common requirements preferred.
