About our firm : 1SEO Digital Agency is a private-equity backed digital marketing company located 30 minutes north of Philadelphia. Our “mission” is to enable high quality local service providers to make effective connections with qualified customers located within 25 miles of their office. We are converting a legacy digital marketing agency into a B2B technology company that sells “marketing as a service” to local service providers. We operate out of our Bristol, PA office, while catering to a geographically diverse clientele across the US and Canada. Our clients’ industries, spanning home services, health & wellness, and professional services.

About the Role : The Operations Specialist plays a crucial role in ensuring the smooth execution of operational processes and optimizing workflow efficiency. This position is responsible for managing various backend systems, tracking tools, and communication platforms to support business operations. The role requires strong organizational skills, problem-solving abilities, and attention to detail to maintain seamless functionality across multiple platforms and workflows.

Responsibilities :

  • Call Tracking Management : Implement, configure, and maintain call tracking systems to ensure accurate reporting and seamless integration with internal tools. This includes setting up new tracking profiles, disabling tracking as needed, and troubleshooting any issues that arise.
  • Contract Workflow & Documentation : Oversee the setup and management of contract stages for new business and upsells, ensuring that all agreements, approvals, and documentation are properly recorded and processed.
  • Client Onboarding & Account Maintenance : Assist in onboarding new clients by creating profiles, integrating tracking tools, and ensuring all operational needs are met. Support ongoing client account maintenance, including modifications to services, cancellations, and system updates.
  • System Integrations & Chat Functionality : Set up and manage various client communication tools such as chat systems (e.g., Podium, Zyra), ensuring proper integration and deactivation when necessary.
  • Project & Workflow Management : Utilize operational tools and project management systems to streamline daily tasks, monitor progress, and proactively identify areas for process improvement. Collaborate with cross-functional teams to resolve inefficiencies and enhance workflow automation.
  • Quality Control & Task Completion : Conduct regular reviews of operational tasks to ensure completion within established timelines, providing follow-ups where necessary. Maintain a steady workflow by tracking task progress and addressing bottlenecks proactively.
  • Process Optimization & Efficiency Improvements : Analyze existing operational procedures, identify inefficiencies, and recommend improvements to enhance overall effectiveness. Work closely with leadership to implement best practices and refine workflows.
