Administrative Assistant Essential Functions & Responsibilities
Education (1) A two-year college degree, or (2) completion of a specialized certification or licensing, or (3) completion of specialized training courses conducted by vendors, or (4) job-specific skills acquired through an apprenticeship program.
Experience One to three years of administrative assistance experience.
Interpersonal Skills Work involves much personal contact with others inside and/or outside the organization for the purpose of first-level conflict resolution, building relationships, and soliciting cooperation. Discussions involve a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.
Other Skills Proficient typing skills; solid analytical, creative and problem-solving abilities; well organized' proficient in Microsoft Office software; experience with basic office equipment. Proficient with spreadsheets; shorthand a plus. Excellent verbal and written communication skills are mandatory for this position.
Physical Requirements
Talking - Especially where one must frequently convey detailed or important instructions, ideas, accurately, loudly, or quickly.
Average Hearing - Able to hear average or normal conversations and receive ordinary information.
Finger Dexterity - Using primarily just the fingers to make small movements such as typing, picking up small objects or pinching fingers together.
Repetitive Motion - Movements frequently and regularly required using the wrists, hands, and/or fingers.
Average Visual Abilities - Average, ordinary visual acuity necessary to prepare or inspect documents or products or operate machinery.
Physical Strength - Sedentary work; sitting most of the time. Exerts up to 25 lbs. of force occasionally. (Almost all office jobs).
Ability to Operate a Motor Vehicle - Ability to operate a motor vehicle with no restriction. Employee must maintain a valid active license and insurance policy.
Work Environment - Work typical of that of an indoor office environment.

Administrative Assistant Essential Functions & Responsibilities
- Manage the Credit Union's mail process. Process all incoming and outgoing mail, including stamping outgoing mail and delivering to the Post Office, retrieving incoming mail from our PO Box and delivering all internal mail to various departments. Maintain the UPS website and ensure adequate shipping supplies.
- Provide administrative support to the Executive Team, Board of Directors, assigned departments/functions and serve as a back-up to the Executive Assistant role.
- Oversee Procurement and Logistics for the Credit Union. Ordering and pricing of supplies, stamps and subscriptions. Maintain appropriate levels of stock in inventory on certain CU essential items. Supply all branches with various CU essential items.
- Coordinates internal and external meetings. Coordinates luncheons and events by reserving rooms, ordering food, and setting up. Assists in preparing for off-site and colleague events.
- Manage both the Credit Union's Matching Gift Program and The Directors Scholarship Program for the Board of Directors.
- Review all incoming daily, weekly, and monthly invoices for accuracy. Code invoices to appropriate general ledger accounts and cost centers and ensure correct deductions are taken. Coordinate daily work order assignments from origination to completion.
- Maintains the executive supplies and stock. Keeps the board room and executive kitchen stocked, clean, and orderly. Maintains seasonal decorations and assists executives with companywide colleague event participation.
- Maintains assigned records, files and reports and ensures data is filed securely and appropriately whether electronically or paper physical files. Maintains uploads to the Board of Directors website.
- Supports 1A Foundation work to include by not limited to: assembling donation packages for delivery, communications out to contributors, and summarizing data for executive meetings. Supports events throughout the year to include assistance in planning and event presence.
- Balance monthly credit card statements for assigned card holders. Review monthly general ledger reports from FAD for accuracy, forward to supervisory for approval.
- Perform other job-related duties as assigned.
- Maintains effective business relations with staff, management, credit union members, vendors, and other business professionals.
- Supports administrative functions of the executive staff and assigned areas in a timely, accurate, and professional manner.
- Assembles, posts on website and delivers (as needed) internal reports submitted to the Board of Directors, committees, staff and management in a timely and accurate manner.
- Resolves or appropriately refers questions, requests, complaints, and problems in a timely and professional manner.
- Keeps management informed of area activities and of any significant problems.
- Performs assigned functions in accordance with policies and procedures and to promote goodwill and convey a positive image of the Credit Union.
