As an Order Processing Specialist, you will interpret customer-provided information and construct a fully detailed order satisfying customer, application, regulatory and manufacturing requirements.

This role involves efficiently and accurately processing customer orders. You will demonstrate strong technical proficiency, including the ability to interpret hardware templates and create detailed drawings using SolidWorks 3D CAD software. Additionally, the role requires proactive communication with customers to resolve engineering issues and ensure specifications are met. The Order Processing Specialist will play a crucial role in supporting manufacturing through precise documentation, CAD designs, and ERP system management, process improvement idea generation and implantation, and adhering closely to company and industry standards.

The Order Processing Specialist will also act as a technical expert for manufacturing production rules for door and frame modeling, at times may need to coordinate with customers for profiles, blueprints, and drawings for manufacturing capabilities, and may be required to assist the Estimating Department during periods of high volume.

Essential Job Duties:
  • Compare purchase order with corresponding National quote to verify type of material, quantity, price, required lead time, freight carrier costs, packaging and crating costs, and other specifications; resolve any discrepancies.
  • Analyze, detail, and translate the details of a door/frame system to make sure all aspects of the order function as intended and adhere to industry standards and Fire or Life Safety Codes (as detailed by Underwriter's Laboratory or Warnock-Hersey).
  • If necessary, contact customer for required information, including templates and special instructions necessary to fabricate materials to ensure the final product will meet customer expectations.
  • Convert purchase orders into ERP system formats and specs for shop production and prepare, through careful calculations, the data used by the ERP system to fabricate materials according to customer requirements.
  • Enter orders into the ERP system and verify accuracy of the data entered during a ‘final check process’ prior to entering orders into production.
  • Reference the Ship Date Scheduling Board to schedule production within National’s EOP time requirements, and scan orders into the shop.
  • Consult with the VP and/or Director of Operations on special circumstances, lead times, and unique production requirements.
  • Analyze blueprints, architectural and CAD drawings, plans, and specifications to determine scope of work.
  • Verify that special materials from third party vendors have been ordered by the Estimating and/or Purchasing Departments, if applicable.
  • Maintain communication trail and show all work.
  • Maintain positive relations with the customer’s project manager during the detailing process as questions are resolved.
  • Regularly review order detailing, entry, and checking procedures for efficiency and effectiveness, and make recommendations to Lead Detailer on ways to improve existing procedures.
  • Comply with industry, UL, and Intertek procedures and with company policies, procedures, and best practices.
  • Process customer orders efficiently and accurately, with special attention to ultra-custom and OEM customers.
  • Perform all duties relating to the processing of customer orders with a high degree of accuracy (orders range from basic to highly configured).
  • Interpret and utilize hardware templates and prepare detailed drawings for manufacturing requirements.
  • Create and/or revise detailed drawings using customer plans and elevations, showing both section and detail views, with annotation and correct dimensions.
  • Anticipate, question, and research areas of concern resolving any drafting, manufacturing, construction, or design issues prior to fabrication.
  • Communicate with customers on discrepancies and/or application conflicts. Document all information requests, clarifications, correspondence, and changes using established protocols.
  • As a knowledgeable product technical expert, provide technical, product application and problem-solving support to our customers.
  • Use SolidWorks CAD software to create detailed technical drawings from cut sheets, prints, sketches, scanned images, and customer supplied data and documents.
  • Work overtime as business requires for customer satisfaction and ensure work project completion.
  • Act as a referential leader within the organization, exemplifying high quality, integrity, and ethical standards.

Education and Experience Requirements:
  • High School diploma or GED required.
  • Preference given to candidates with a Bachelor’s degree in mathematics, Engineering, Business or related field strongly preferred.
  • Associates degree, technical trade school degree in Computer Aided Drafting, mathematics, mechanical engineering, or related field required.
  • Minimum of a certificate in SolidWorks 3D CAD design.
  • Previous experience or exposure to working within the Door, building materials, and/or Hollow metal industries are highly desirable.
  • Previous experience working with ERP systems such as SAP, Oracle, Microsoft Dynamics, Sage Intacct, Katana, ERPNExt, Odoo, etc. Preference given to candidates with ProvenSys ERP experience.
  • Minimum two years of CAD drafting/detail experience in a manufacturing environment.
  • Complex math and problem-solving skills is required, including developed understanding of Algebra and Geometry.
  • At least 1 year of SolidWorks Experience required. Preference given to candidates with SolidWorks Sheet Metal experience.
  • At least six months’ experience working with Striker and/or Part Share programs.
  • At least six months’ experience of reading and comprehending structural and architectural drawings required.
  • Excellent computer skills required. (Microsoft 365 & its applications, use of OneDrive, Teams, email, internet, and PC operating systems).
  • Excellent analytical, problem-solving, organizational, follow-up and a sense of urgency are required.
  • Excellent communication skills required including verbal and written communication.
