Summary
We are seeking a dependable and detail-oriented Part-Time Office Assistant to support daily office operations and ensure a professional, welcoming environment for our clients. This position plays a key role in administrative support, scheduling, and maintaining an organized workspace. The ideal candidate is proactive, organized, and enjoys working in a team-oriented office setting.
Key Responsibilities:
Client Support & Office Hospitality
- Greet clients professionally and offer refreshments
- Prepare and maintain a clean, welcoming office environment
Administrative Tasks
- Answer and route incoming calls
- Schedule and reschedule client appointments, including annual reviews
- Maintain accurate notes and appointment tracking
- Perform data entry
- Print daily calendars, proposals, and meeting documents
- Process mailings, including birthday cards, client letters, and other correspondence
Document & Task Management
- Prepare and restock client packets, binders, and folders
- Upload documents to Sharepoint and provider platforms as needed
- Assign and update client-related tasks using Redtail CRM
- Scan and file completed client forms and meeting notes
- Maintain up-to-date and organized digital and physical client records
Inventory & Office Supplies
- Maintain inventory of printed materials and client folders
- Assist with printing, shipping, and preparing materials as needed
Additional Duties:
- Attend training sessions
- Support team members with general office tasks such as filing, printing, and organizing
- Send follow-up communications such as chaser and cancellation letters
- Prepare materials for the next day’s appointments
- Complete other duties as assigned by management
Skills & Qualifications:
- Excellent verbal and written communication skills
- Highly organized with strong attention to detail
- Able to prioritize and manage multiple tasks efficiently
- Comfortable working under deadlines and in a team environment
- Self-motivated and adaptable to changing needs
- Proficient in Microsoft Office
Schedule:
- Monday-Friday 12:00pm-4:00pm
Experience with phone-based client interaction preferred
