About the Role
We are seeking a highly organized and detail-oriented Office Assistant to support our construction operations. This role is integral to the smooth execution of our projects by helping build accurate construction quotes, managing subcontractor activities, sourcing materials and other managerial routines as needed. The ideal candidate will have a strong administrative background, excellent communication skills, and a proactive approach to problem-solving.
Key Responsibilities
- Quote Preparation:
- Assist in compiling detailed construction quotes by gathering necessary labor, material, and equipment costs.
- Review blueprints, project scopes, and specifications for accurate cost estimation.
- Subcontractor Coordination:
- Maintain an updated database of subcontractors, contracts, and schedules.
- Track performance, deadlines, and compliance with project requirements.
- Material Sourcing:
- Research and procure quality materials at competitive prices.
- Maintain relationships with vendors and negotiate terms for better pricing and delivery timelines.
- General Administrative Support:
- Organize and maintain files related to projects, contracts, and vendor accounts.
- Manage calendars, schedule meetings, and provide general office support.
- Reporting and Compliance:
- Prepare regular reports on project progress, costs, and other key metrics.
Ensure compliance with company policies and local regulations related to construction and permits
Experience
- Previous experience as a construction related field administrator or in a similar administrative role is preferred but not required.
- Proficiency in office management practices and familiarity with various office software applications.
- Strong clerical skills with attention to detail in filing and documentation processes.
- Excellent phone etiquette and customer service skills are essential for this position.
- Ability to work collaboratively within a team while also being self-motivated in individual tasks.
Job Type: Full-time
Pay: $40,000.00 - $50,000.00 per year
