Position: Senior Admin Support Assistant
Reports To: Administrative Director
Department: Administration
Key Responsibilities and Duties:
The Senior Administrative Assistant supports special grant-funded projects through various tasks, including assistance with organization, follow-up, or materials preparation for agency services and support of core information and referral services. Under direction, this position is also responsible for developing forms, preparing correspondence, maintaining office supplies, and interacting with vendors.
- Receives requests for clerical assistance from all agency departments; processes appropriately.
- Types, photocopies, and formal documents, including RFPs and training materials, are prepared.
- Maintains database logs and prepares reports for activities, including editing and updating entries.
- Prepares general correspondence from verbal instructions.
- May search the database for appropriate resources or with various specialized data input tasks.
- Provide general filing tasks and other documentation for hard-copy files.
- Provide additional clerical support as directed.
- Assist with coordinating facility requests.
Qualifications:
- Ability to type 45 wpm
- Working knowledge of Microsoft Word for Windows and Google Suite.
- Ability to understand the basic structure and logic of databases and data entries.
- Flexible, detail-oriented; ability to work with minimal direct supervision.
- Excellent oral communication skills.
- Ability to evaluate priorities and appropriately schedule work.
- Ability to work under time pressures.
- Ability to lift up to 25 pounds.
- Ability to work independently and in a team setting.
- Ability to get along well with others, including persons of different ethnic or cultural backgrounds.
- Possession of a valid California Driver’s License, proof of current insurance, and access to an automobile.
- Two years of college or substantially equivalent experience
- One year experience in a clerical or customer service capacity or other capacity that requires interaction with the public
Compensation: $19.16 per hour
