Duration: 6 Months
Purpose of Position:
Provides program and office support to a work unit using established policies and procedures. This role encompasses general office and administrative support functions.
Key Responsibilities:
1. Administrative Support
- Perform routine office and administrative duties
- Respond to inquiries and requests for information
- Order supplies and maintain standard office inventory for assigned program or work unit
- Coordinate and schedule meetings; record and transcribe meeting minutes
- Prepare reports as requested
2. Office Correspondence
- Prepare routine correspondence
- Communicate office updates and important dates to assigned program areas or work unit
- Route incoming mail, receipts, and documents to appropriate staff/work units
3. Customer Service
- Provide quality customer service
- Serve as the first point of contact for a program or work unit
- Direct inquiries to appropriate office, division, or resource
- Explain established procedures and practices
4. Time Management
- Maintain timesheets
- Enter time/leave taken into timekeeping/payroll system for assigned program area
Required Skills and Qualities:
- Proficiency in general office procedures
- Strong organizational skills
- Excellent communication skills (written and verbal)
- Ability to multitask and prioritize workload
- Attention to detail
- Proficiency in Microsoft Office suite
