SUMMARY OF POSITION:

The Human Resource Information System (HRIS) Administrator will support and maintain the company’s applications and modules related to critical systems that align with the people services, including:

    • Human Resources Information System, including the Applicant Tracking System
    • Learning and Development Platform
    • Third party HR systems (TerryBerry, Equifax)
    • SharePoint management
    • Benefit vendors

ESSENTIAL JOB FUNCTIONS:

  • Manages all system configuration, enhancements, upgrades, and implementations of new system functionality. Responsible for testing all HR processes during upgrades and implementation of new systems functionality.
  • Serve as project lead in providing support for HRIS, including researching and resolving HRIS issues, unexpected results or process flaws, and recommending solutions or alternate methods to meet requirements.
  • Serve as key liaison and project manager with HRIS vendors and other internal departments for HR technical projects.
  • Support recruitment and staffing functions, offering administrative support and customer service for HR, employment, and other related inquiries.
  • Assesses system functionality to ensure user experience is optimal. Monitors error reports and metrics to identify and resolve bottlenecks and gaps within HR systems. Maintains system security control by adding/removing end-users. Conducts research for use of enhanced, new or additional features in HR systems.
  • Write, maintain, and support a variety of reports using appropriate reporting tools for HR and other support departments. Develop standard reports, burst reports and dashboards for ongoing customer needs. Help maintain data integrity in systems by running queries and analyzing data.
  • Develop user procedures, guidelines and documentation and train users on new processes and functionality.
  • Maintain awareness of, and keep senior leadership up to date on, current trends in HRIS with a focus on product and service development, delivery and support and applying key technologies. Examine trends in information systems training, materials and techniques. Through classes, reading or other mechanisms, continuously increase both HR knowledge and HRIS application knowledge. Participate and lead user group meetings.
  • Oversees and maintains optimal function of the HRIS, which may include installation, customization, development, maintenance, and upgrade to applications, systems, and modules.
  • Audits HRIS and connected 3rd party system’s data to ensure consistency across all platforms.
  • Perform audits within the HRIS system to ensure data accuracy, including PTO, labor allocations, EEO, payroll audits, benefit audits, etc.
  • Provides technical support, troubleshooting, and guidance to HRIS users.
  • Collaborates with executive leadership and HR staff to identify system improvements and enhancements; recommends and implements solutions.
  • Manages permissions, access, personalization, and similar system operations and settings for HRIS users.
  • Programs custom functions and documentation such as automated queries, filters, macros, and reports.
  • Compiles or assists with the acquisition of complex data reports, summaries, and logs for senior executives and HR staff, including mandatory government reports (EEOC-1, CA Pay Data Report, etc.).
  • Serves as lead representative and liaison between HR, information services, external vendors, and other stakeholders for HRIS design and implementation projects.
  • Ensures system compliance with data security and privacy requirements.
  • Maintains knowledge of trends and developments in HRIS providers, vendors, and technology.
  • Performs other duties as required.

REQUIRED SKILLS / ABILITIES

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that they are able to perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and technical support skills.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Ability to visualize data using Power BI, Tableau, or other data visualization programs.
  • Familiarity with human resource policies and procedures to ensure the HRIS meets organizational needs and goals.
  • Ability to keep information confidential.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient in Excel.
  • Thorough understanding of all areas of information systems with a highly technical understanding of at least one commercial HRIS product.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree in information technology, Human Resources Management, Business Administration, or related field required.
  • SHRM-CP or SHRM-SCP highly desirable.
  • Experience with Paycom highly desirable.
