Position Title : Treasury Coordinator

Department : Accounting & Finance

Location : Santa Monica store / office

Reports to : Accounting Manager / Treasury Manager

FLSA Status : Non-Exempt

General Position Summary

This position is responsible for providing various treasury and accounting duties in order to ensure effective, efficient, and accurate finance and some administrative tasks around our retail operations.

This position works with Accounting & Finance team in Japan as well as Store Operations team in the US, facilitates transactional treasury operations, assists cash management, supports treasury / accounting tasks relative to new store openings and existing stores, maintains records according to generally accepted accounting principles including journal entries, accounts payable, accounts receivable, and reconciliation of bank statements while

ensuring legal requirements compliance.

Essential Job Functions

1. Cash Management

Banking Administration

  • Acts as a treasury liaison with company’s business units in setting up new banking accounts, services, administrative tasks, handling bank inquiries and issues, and related matters.
  • Helps prepare banking related documents, obtain signatures, ensure proper documentations are in place.
  • Maintains positive banking relationships with depository banks and supports Treasury Manager located in Japan.
  • Regularly reviews and analyses daily cash balances across bank accounts to maintain sufficient liquidity for the operations.
  • Responsible for loading and reconciling bank statements to ensure accuracy of transactions and identify discrepancies.
  • Supports banking system controls updates, updates bank account signers, enters wires in the banking system.
  • Analyses bank fees and record keeping.
  • Supports corporate accounting, corporate tax, financial planning, internal audit and other functions as they relate to Treasury transactions and entity structures.
  • Supports tasks around new store openings, cash vault setups, arranges cash deliveries.

Payment Processing

  • Reviews day-to-day flow of payments, ensuring timely processing and adherence to payment policies.
  • Processes incoming payments requests from various department.
  • Verifies payment files are received and processes by a bank.
  • Identifies and resolves any discrepancies or errors in payment data.
  • Initiates wire transfers and ACH payments through banking system
  • 2. Accounting related tasks

  • Reconciles balance sheet accounts periodically including but not limited to cash, accounts receivable, accounts payable; researches and resolves discrepancies by working with stores and our partner banks.
  • Supports accounts payable transactions; processing expense invoices for payment, including verifying invoice accuracy, payment terms and originality of invoices, back-up documentation and obtaining necessary authorization / approval; paying bills and invoices in accordance with established methods and procedures; processing credit card payment.
  • Performs accounts receivable transactions; posting and classification of the daily receivable transactions, preparing bank deposits, and identifying delinquent accounts and insufficient payments.
  • 3. Business support

  • Supports store operations related to finance, such as placing check orders, recording order data, monitoring check records.
  • Resolves transactional issues by working closely with our bank partners and local business operations teams, reports outcomes of these issues, suggests improvement plans.
  • Receive mails and file documents, including tax documents, in accordance with the internal procedures to ensure timely answers for potential inquiries.
  • Help process transactions, such as refunds, at our store location(s) if needed.
  • Other & Miscellaneous

  • Performs ad-hoc projects and other miscellaneous duties as assigned by management.
  • Reports all irregular issues and problems to management for solution in a timely manner.
  • Maintains good communication and relationships with management, local staff members and external counterparties.
  • Complies with all company policies and procedures.
  • Seeks and suggests improvements to current processes and protocols
  • Becomes a good liaison between local staff and the Accounting & Finance team in Japan
  • Handles tasks as much as possible in the local time without detailed supervisions from the team in Japan
  • Visit local stores to support treasury / accounting related tasks if needed
  • Qualification

    Education, Work Experience, Skills

  • A bachelor’s degree in finance, accounting, business, economics or related field or 2-3 years of experience in banking / accounting, or equivalent combination of education and experience preferred.
  • Conversational level Japanese and English language proficiency (required)
  • Ability to multi-task in a fast-paced environment with accuracy
  • Ability to quickly understand complex transactions and resolve issues in a timely manner
  • Proficiency in MS Excel and Word
  • Attention to detail, ability to work collaboratively with a can-do attitude
  • Maintain punctuality, self-reliance, self-independence under the minimum supervision with precision
  • Certificates / License

  • Driver’s License (required to work in the office and visit local stores when needed.

    Driving Safety Requirements :
