JOB SUMMARY: Responsible for assisting the Senior Program Manager, this role supports the program management staff in the preparation of deliverables, internal reports, travel and invoice support, briefings, and other requirements associated within the program being supported. This position typically works under general supervision and direction.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Supports the administration of programs in accordance with the contract, policies, procedures and department instructions. Establishes and maintains folders and repositories ensuring document control and tracking. Supports the program managers in ensuring contracts are met in the most efficient and profitable manner. Supports program execution to meet technical performance within cost and schedule. Tracks, manages and administers invoices for the program, inclusive of costs, materials and travel. Supports the program managers in performing the following tasks: monthly status reports, liaison with other Company support groups, provides meeting logistic support, including the development of agendas, phone contacts, meeting minutes and action item tracking. Supports early or on-time deliveries of all required project/program documentation. Monitors Action Items (AI) lists and supports timely completion of open Ais. Performs financial management tasks, which may include invoice generation, preparation of information for the cost estimation team, SAP data input and administration. Escalates any issues to program management with sufficient lead for timely resolution. Coordinates and/or assists with proposal development, statements of work, specification development and major subcontract management. Plans and coordinates large travel bookings to support teams operating in remote locations. Other assigned duties as required.
GENERAL DUTIES AND RESPONSIBILITES:

BACKGROUND AND EXPERIENCE:
- Certificate / Diploma in Project Management or other related discipline, or equivalent experience Skills/Experience/Knowledge.
- 4 – 6 years experience performing project administrative / coordination duties.
- Experience of demand management and schedule management.
- Experience working with SAP and similar systems.
- Skilled user of SharePoint, MS Project and MS Office, MS Suite (Word, Excel, PowerPoint, etc.).
- Willing to learn with a continuous improvement mindset.
- Flexibility to occasionally work outside of normal hours to support the departmental teams with critical program activities.
CONDITION OF EMPLOYMENT:
- Successful outcome of a National Police Check
