Job Summary:

The Service Coordinator for 3C Industrial, LLC oversees all Corrective / Preventive Maintenance tracking and Estimates, job scheduling/tracking, invoicing, and customer office records.

Responsibilities:

  • Ensure all necessary parts and materials for open repair orders are promptly ordered, received, and shipped to the correct location.
  • Coordinate the scheduling of Service Technicians once all required materials are in company control.
  • Oversee inventory management, including parts, supplies, and the rental fleet, to ensure availability and accuracy.
  • Track rental equipment returns to maintain proper fleet management.
  • Process customer invoices upon job completion and oversee the invoicing workflow.
  • Complete and submit customer warranty registrations with the manufacturer.
  • Manage the end-to-end service process, from estimate creation to final invoicing, in compliance with company timeline regulations.
  • Monitor open estimate reports to ensure adherence to company targets for response times, evaluations, estimate approvals, work order creation, parts ordering, invoicing, job completion, and rental returns.
  • Handle all incoming and outgoing communications, including phone calls, emails, and correspondence, ensuring professional and timely responses.

Qualifications:

  • Holds a High School Diploma or GED equivalent
  • Possesses strong creative problem-solving abilities
  • Demonstrates excellent proficiency in the English language, both in writing and speaking
  • Exhibits outstanding organizational and time management skills
  • Maintains keen attention to detail along with strong interpersonal skills
  • Provides exceptional customer service and communication over the phone
  • Effectively manages multiple tasks, meets tight deadlines, and prioritizes work efficiently
  • Thrives as a team player, taking initiative to enhance processes, proactively complete assignments, and collaborate positively within a team environment
  • Skilled in using the Microsoft Office Suite
  • Demonstrates strong computer skills and a solid mechanical aptitude

Physical Requirements:

  • Body Positions: While performing the duties of this job, the employee is regularly required to sit for prolonged periods.
  • Body Movements: The employee must have a full range of body movements including the use of his/her hands to finger, handle, and feel objects such as glazing products and equipment. The ability to bend the body, to reach for objects, and to stoop, kneel, or crouch, crawl, climb, or balance when needed is also required.
  • Body Senses: Vision requirements must be sufficient to shift in focus from computer screens to close forms.
  • Strength: The employee must have the ability to lift up to 50 pounds on occasion.
