We are seeking a highly motivated and customer-focused Collections Account Analyst to join our team. In this role, you will be responsible for collecting payments due on customer accounts while maintaining positive relationships with clients. Your ability to collaborate effectively with internal teams and build strong customer relationships will be key to success in this position.
Key Responsibilities:
- Make initial telephone contact with customers whose invoices are past due or for large amounts, as dictated by Management.
- Provide requested documentation to customers (e.g., invoices, time tickets, signed work orders).
- Work closely with sales and operations teams to resolve customer issues that impact payment.
- Remit payments received to Cash Applications for proper posting.
- Prepare monthly reports and credit memos in a timely manner.
- Correspond with customers via phone, email, and mail to demand payment, respond to inquiries, or follow up on commitments.
- Monitor payment trends and investigate short payments or missed payments, collaborating with customers or office personnel to resolve.
- Contact problem customers to discuss payment alternatives and issue suspension or final demand notices as needed.
- Use customer portals to track work orders and ensure proper payment and closure.
Key Qualifications:
- Minimum of a High School Diploma or equivalent.
- Strong customer service skills and a customer-focused mindset.
- Ability to build relationships and collaborate effectively with customers, sales, and operations teams.
- Proficient in advanced computer skills, including MS Office (Excel experience required).
- Ability to make independent decisions with minimal supervision.
- Excellent verbal and written communication skills.
- Experience with collections or similar roles is preferred but not required.
- Ability to handle sensitive information and maintain confidentiality.
