Position Purpose
The Administrative Assistant is in a unique position to support the other parish staff and the wider parish community in remaining connected to the Lord Jesus and one another as we grow in faith as disciples. This is accomplished by seeing to many of the small details, clear and consistent communication, and a willingness to fill in the gaps.
Major Duties and Responsibilities
- Performs secretarial and administrative functions. These include (but are not limited to): maintaining the Church Management System, greeting and directing callers and visitors to appropriate ministers of service, registering new parishioners, responding to parishioner needs, scheduling the use of the facility, preparing bulk mail in accordance with postal regulations, assisting other staff with their needs.
- Keeps parishioners informed and updated through preparing the bulletin, maintaining the church website, and occasionally posting on the church Facebook page.
- Reviews financial transactions (accounts payable, accounts receivable, banking) and assures that each is properly recorded.
- Oversees the compilation and tabulation of deposits for the parish.
- Maintains facility calendar and key log.
- Records and makes updates in sacramental registers.
Other Duties and Responsibilities
- Organizes and implements annual fundraising events (Annual Catholic Appeal, Parish Stewardship, major gifts, and capital campaigns).
- Maintains an inventory of supplies and reorders as needed.
- Participate in all Safe Environment Training and Virtus as prescribed by the Archdiocese of Seattle.
- Maintains a level of confidentiality and professionalism with regards to work/church related issues.
- Performs other duties as assigned by supervisors.
Minimum Qualifications:
- Associate degree or equivalent; additional qualifications in office administration are a plus
- Proven experience as an administrative assistant or similar roles
- Proficiency in Microsoft Office Suite and technology literacy in database management
- Excellent organizational and multitasking abilities
- Strong communication and interpersonal skills
- A faithful Catholic committed to the values and mission of the Catholic Church who is registered in a local parish
- Pass and keep current background check on file.
Any offered salary is determined based on internal equity, internal salary ranges, market data, applicants skills and prior relevant experience, certain degrees and certifications.
