Front Desk Agent - MedSpa

4Ever Young Anti-Aging Ridgewood is looking for a friendly and inviting Front Desk Concierge:

• Experience: Previous experience in customer service, hospitality, or a similar concierge role, preferably in a medical spa, beauty, or wellness setting. Specific background is not necessary, will also teach those who are willing to learn all things beauty and wellness!
• Skills: Excellent communication, interpersonal, and organizational skills
• Customer-Focused: A passion for providing high-quality customer care and enhancing the client experience
• The ideal candidate will be highly organized, detail-oriented, and passionate about delivering top-notch customer care in a fast-paced, luxurious spa environment
• Client Engagement: Greet and welcome all patients as they arrive at the spa, ensuring a positive and friendly first impression, with an emphasis on checkout.
• Appointment Scheduling: Manage appointment bookings, reschedules, and cancellations, ensuring smooth operations and optimal use of resources
• Administrative Support: Handle administrative tasks including processing client information and maintaining accurate records in EMR systems (highly favorable)
• Billing and Payment: Process payments, provide receipts, and assist clients with billing inquiries, also EMR systems
• Team Collaboration: Work closely with medical professionals, aestheticians, and other spa staff to ensure seamless service delivery
• Follow-Up: Conduct follow-up calls or messages to ensure patient satisfaction and to encourage future bookings
• Client Retention: Promote loyalty programs, special offers, and upcoming services to encourage repeat visits
• Compliance: Adhere to all health and safety regulations, confidentiality guidelines, and spa protocols- HIPPAA compliant as our patients experience is our top priority.

What you’ll need:

A passion for the aesthetics and beauty business. We are a close-knit group who really care about one another and want to see all of us to well! Motivation and proven sales experience with the ability to upsell services is a plus, once you get the hang of it all.

Seeking a positive can-do attitude, we really have a great time at work :)

Proficient with Excel, Microsoft Outlook, any previous EMR experience again is a huge plus

Spanish speaking also highly beneficial!!
