5 Seasons Mechanical is a growing Commercial HVAC Service Company servicing the Atlanta Market. Currently we're seeking an experienced Commercial HVAC Service Dispatcher. The ideal candidate would be a career-minded team player to fulfill our available Service Dispatcher position. This position earns 50k-65k/yr, based on experience, plus commission and bonuses. Sign-on bonus is available if eligible.
Position Overview:
We are looking for a Commercial HVAC Service Coordinator/Team Leader with at least 3 years of experience scheduling and coordinating technicians, materials, sub-contractors, and equipment based on project scope, technician skill sets, and customer timeline.
Essential Functions:
- Answer all incoming phone calls from customers
- Schedule and coordinate service calls as received
- Create dispatch tickets and work orders for all service calls for multiple technicians
- Schedule and dispatch technicians
- Educate technicians on all services for maintenance calls based on customers' needs
- Maintain the dispatch board/schedule all technicians
- Forecast workload for 2-3 days out
- Contact all customers with status daily till job is completed
- Follow up with all pending and recommended work with customers utilizing the pending work log
- Maintain the maintenance agreement including billing, scheduling, and staging of materials, database information, customer hard files, and renewals
- Ordering any parts needed for technicians, issuing of PO's and sub work orders
- Daily reports for the department and management team
- Update customer records
- Prepare the service contracts for new customers
- Follow company processes and procedures
- Prepare paperwork for all manufacturing warranty parts
- Update service software for every service ticket
- Assist with any additional customer service or administrative-related tasks
- Proficient in Excel
REQUIREMENTS:
- Required proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
- 5 years of experience in Excel
- National Account and portal management experience
- 5 years commercial HVAC dispatching experience
- Exceptional communication skills
- Must have reliable transportation
- Superior organization skills and dedication to completing projects in a timely manner
- Service dispatch software knowledge is a plus
