Position Overview
Seeking a detail-oriented Administrative Assistant with strong bookkeeping experience to provide comprehensive business support in our Roxborough Park location. This role combines financial management, administrative duties, and client relationship management in a flexible 15- 20-hour weekly schedule.
Key Responsibilities Confidential Financial Management & Bookkeeping
- Manage sensitive financial data using QuickBooks
- Process and manage confidential ACH transfers and revenue tracking
- Perform monthly bank reconciliations
- Process private contractor payments and timesheet management
- Maintain secure financial records and documentation
- Handle confidential bookkeeping and expense tracking
Secure Document Management
- Review and edit confidential business documents
- Maintain secure digital and physical filing systems
- Manage sensitive document scanning and digitization
- Create and update internal procedures
- Ensure secure version control of all documents
Protected Client Relations & CRM Management
- Manage confidential client database and information
- Handle sensitive client communications
- Input and update secure CRM data
- Schedule and coordinate private meetings
- Maintain confidential communication records
Confidential Administrative Support
- Process sensitive mail and correspondence
- Manage private business calendar
- Handle confidential vendor relationships
- Prepare secure business documents
- Maintain confidentiality of all business operations
Preferred Qualifications
- 2 years bookkeeping experience
- 3 years administrative experience
