Job Summary: We are seeking a highly organized, customer-focused Administrative Assistant / Leasing Agent to support the day-to-day operations. Overseeing 114 units across 7 residential properties in North Hollywood and West Hollywood. The ideal candidate will be responsible for both administrative office tasks and leasing duties, ensuring smooth operations, excellent tenant relations, and high occupancy rates.
Key Responsibilities:
Administrative Duties:
Answer phone calls, respond to emails, and manage tenant inquiries.
Maintain accurate resident records including leases, renewals, and maintenance requests.
Process rental applications, prepare lease documents, and assist with move-in/move-out coordination.
Track and follow up on rent payments, late notices, and notices to vacate.
Coordinate and file documentation related to property inspections, vendors, and contractors.
Assist with scheduling maintenance, property showings, and meetings.
Leasing Duties:
Respond promptly to leasing inquiries via phone, email, and online platforms.
Schedule and conduct property tours for prospective tenants.
Explain lease terms, application requirements, and community features.
Process applications, run background/credit checks, and assist with approval process.
Ensure available units are market-ready and coordinate with maintenance for turnover work.
Market available units through online listings and social media platforms.
Assist with lease renewals and retention efforts.
Qualifications:
1 year of experience in property management, leasing, or administrative roles.
Strong organizational and time-management skills.
Excellent communication and customer service abilities.
Proficient in Microsoft Office Suite, Google Workspace, and property management software (e.g., AppFolio,)
Knowledge of California landlord-tenant laws a plus.
Bilingual (English/Spanish) preferred but not required.
Valid driver’s license and reliable transportation to travel between properties.
