Job Duties
**Dispute Investigation:**
- Conduct a thorough review of vendor invoices, delivery receipts, and other pertinent documentation to identify discrepancies or issues that may be contributing to the dispute.
- Engage with vendors to collect information, clarify details, and gain an understanding of their perspective regarding the dispute.
- Perform an analysis of contractual terms to ascertain the validity of the vendor's claim.
**Dispute Resolution:**
- Initiate discussions with the vendor to address the dispute and endeavor to achieve a resolution through negotiation.
- Escalate complex disputes to appropriate stakeholders within the organization, such as the Fuel Controller, Director of Fuel, or Fuel Accounting.
**Reporting and Documentation:**
- Maintain comprehensive records of all vendor disputes, including supporting documentation and outcomes of resolutions.
- Update internal systems and tools with relevant details pertaining to the dispute and its resolution status.
**Preventive Measures:**
- Identify and address recurring issues with vendors in order to proactively mitigate the risk of future disputes. **Invoice Review and Verification:**
- Conduct a detailed review of invoices to ensure completeness, which includes verifying vendor details, invoice date, item descriptions, quantities, unit prices, and total amounts.
