Location:  MVI Field Services – Grand Rapids International Airport Consolidated Rental Car Facility (ConRAC)

Position Overview
The Facility Manager oversees all operational functions and maintenance of the Grand Rapids Airport Consolidated Rental Car (ConRAC) Facility. This role requires a strategic leader with a proven ability to manage client relationships, direct facility operations, and ensure compliance with regulatory standards while delivering superior results for stakeholders, including rental car companies representing several major brands.

Reports To: Director of Operations

Compensation: $65,000–$70,000 annually, commensurate with experience. Includes health insurance with vision and dental options, a health spending account with company contributions, life insurance, paid time off, participation in MVI’s 401k matching plan, and performance-based bonuses.

Qualifications, Experience, & Desired Competencies

  • Minimum of 3 years of verifiable facility management experience.
  • Bachelor’s degree or associate degree in a business-related field or facility management preferred.
  • 3–5 years of verifiable experience managing a team of 5 or more employees.
  • Availability to be on call for emergencies.
  • Valid U.S. driver’s license required.
  • Facility Management Certification preferred.
  • Proficiency in Microsoft Office Suite and work order systems.
  • Demonstrated ability to manage budgets, optimize costs, and conduct financial analysis.
  • Exceptional problem-solving, analytical, and decision-making abilities.
  • Excellent written and verbal communication skills with the ability to present complex information clearly and courteously.
  • Comprehensive knowledge of architectural, electrical, and mechanical systems, leases, and contracts.

Essential Duties and Responsibilities

Leadership and Client Management

  • Establishes and maintains productive client relationships, ensuring alignment with client expectations and operational goals.
  • Attends regular client meetings to provide updates, address concerns, and foster collaboration.
  • Leads and develops a team of professionals, ensuring they are trained on best practices, safety, and operational procedures.
  • Conducts regular team meetings to review responsibilities, progress, and goals.

Operational Oversight

  • Develops and implements long- and short-term maintenance plans, including emergency response protocols, asset lifecycle planning, and parts/equipment inventory management.
  • Oversees preventative maintenance and repair projects, ensuring timely and efficient completion.
  • Ensures compliance with all federal, state, and local regulations, including Underground Storage Tank (UST) standards, hazardous material management, and stormwater protocols.
  • Manages regulatory permits and compliance plans, coordinating directly with operators and serving as the primary contact for regulatory agencies.
  • Oversees incident management and reporting, ensuring timely communication with relevant stakeholders.
  • Directs the preparation of RFPs/bids for facility projects and provides recommendations to the executive team and rental car companies as appropriate.
  • Evaluates and resolves operational challenges by developing innovative, practical solutions.

 

Financial Oversight

  • Oversees budget planning and adherence, providing accurate monthly expense reports and analyzing costs for optimization.
  • Manages vendor contracts and evaluates supplier performance to ensure cost-effectiveness.
  • Submits all monthly expense reports on time and approves all pass-through and MVI-related expenses.
  • Identifies opportunities to streamline processes and reduce costs without compromising quality or compliance.
  • Ensures accurate and timely submission of billing data to support organizational financial processes.

Regulatory and Safety Compliance

  • Serves as a subject matter expert on safety standards and regulations, ensuring compliance across all operations.
  • Coordinates Occupational Health & Safety activities and oversees training programs to promote a safe work environment.
  • Prepares and submits required reports to regulatory agencies. 

Policies and Procedures

  • Adheres to company policies and procedures relating to health, safety, and management.
  • Evaluates and escalates operational challenges to the Director of Operations when necessary.
  • Recruits, interviews, hires, and trains staff as needed to meet operational requirements.
  • Ensures effective communication across teams and with subcontractors to maintain project management standards.
  • Conducts annual performance reviews, aligning employee development plans with organizational goals.
  • Implements MVI’s progressive discipline policies when necessary, as outlined in the Company Handbook.

Additional Responsibilities

  • Maintains and updates parts inventory, ensuring proper cost coding and invoice processing for vendor relations.
  • Organizes and manages operational data using tools such as CMMS, Intacct, and Nexonia.
  • Participates in strategic planning, project team activities, and industry-related conferences to drive continuous improvement.
