Job Overview

We are seeking a highly skilled and detail-oriented Accountant to manage and oversee our financial operations, reporting, and compliance. The ideal candidate will have expertise in QuickBooks, financial reconciliation, payroll, and project invoicing. They will play a key role in maintaining the company's financial health by ensuring accurate record-keeping, compliance with tax regulations, and timely processing of invoices and payments.

Responsibilities

Payroll & Employee Management :

Process payroll for employees on both monthly and biweekly schedules.
Properly manage advances, loans, and deductions in QuickBooks (QB).
Prepare and submit monthly commission reports and annual bonuses.
Handle annual 1099 and W-2 filings.
Manage new vendor and employee registration in QB, verifying existing records.

Financial Reporting & Analysis :

Reconcile accounts with bank statements.

Conduct monthly audits of profit / loss and balance sheets and share QB reports.

Provide detailed monthly analysis of expenses and income.

Invoicing & Payments :

Prepare commercial invoices and submit them through the proper channels.

Follow up on residential and commercial project invoices to ensure timely payments.

Generate invoices for project cancellations, follow up with customers, and file liens for unpaid accounts.

Expense & Vendor Management :

Record vendor invoices in QB and Google Sheets, ensuring they align with POs.

Prepare vendor payments and subcontractor payouts.

Establish and negotiate credit terms with vendors / partners.

Compliance & Tax Filing :

Prepare and file sales and use taxes.

Submit payroll details for workers’ compensation compliance.

Coordinate financial reviews and tax returns with the CPA.

Work with bonding companies to maintain up-to-date documentation.

Handle financial document requests from vendors, subcontractors, and partners.

Supervision & Team Support :

Supervise the backend accounting team and assign tasks as needed.

Collect and maintain data for referral checks / payments.

Qualifications

Bachelor’s degree in Accounting, Finance, or a related field.

Proven experience in accounting and bookkeeping, with proficiency in QuickBooks.

Strong understanding of payroll processes, tax compliance, and financial reporting.

Excellent organizational and analytical skills with high attention to detail.

Ability to handle confidential information with integrity and professionalism.

Strong communication skills for vendor, partner, and team interactions.

Proficiency in MS Excel and Google Sheets.
