The Payroll Clerk is responsible for processing payroll for all employees, ensuring compliance with federal and state regulations, and maintaining accurate payroll records. This role requires attention to detail, strong organizational skills, and the ability to handle sensitive information with confidentiality.
**Key Responsibilities:**
- Process bi-weekly payroll for all employees, ensuring accuracy in hours worked, deductions, and benefits
- Maintain payroll records and employee files, ensuring all documentation is complete and compliant with legal requirements
- Calculate and process payroll adjustments, including overtime, bonuses, and leave pay
- Ensure compliance with federal, state, and local payroll regulations, including tax withholdings and reporting
- Respond to employee inquiries regarding payroll, deductions, and benefits in a timely and professional manner
- Assist in the preparation of payroll reports for management and auditors
- Collaborate with HR to ensure accurate employee data and changes are reflected in the payroll system
- Support the annual audit process by providing necessary payroll documentation and reports
- Stay up-to-date with changes in payroll laws and regulations, and recommend updates to payroll processes as necessary
- High school diploma or equivalent; associate degree in accounting, finance, or a related field preferred
- Proven experience in payroll processing, preferably in a nonprofit or similar environment
- Strong knowledge of payroll software and Microsoft Office Suite (Excel, Word)
- Excellent attention to detail and accuracy
- Strong organizational skills and the ability to manage multiple tasks and deadlines
- Effective communication skills, both written and verbal
- Ability to handle sensitive information with confidentiality and integrity
- Knowledge of nonprofit accounting practices and regulations is a plus
