We are looking for a long-term Assistant Office Manager whose life's passion is great customer service and a drive to grow in our Agency! This is a fully in-person position, please only apply if this feels like a good fit for your skills.
We are a busy counseling group practice in downtown Vancouver, WA looking for an ethical, motivated, individual to join and assist in leading our office team. We are a lively, tight-knit team that consults, mentors, and supports each other. Our bi-monthly all-staff meetings include training, brainstorming, problem-solving, and shared laughter. Staying organized, following business processes, and collaborating with coworkers is imperative for thriving in this small business. The ideal candidate will play a crucial role in ensuring the smooth operation of our office environment, providing clerical support, and assisting with various projects.
Job duties will include:
- Answering multi-line phones
- Checking in and assisting walk-in clients
- Organized record-keeping with both physical and online paperwork
- Scheduling/managing appointments using client management software
- Self-monitoring task completion
- Utilizing spreadsheets and data reporting
- Managing agency emails
- Organizing and filing documents
- Communicating with office team members and clinical staff to better serve and support our clients
- Managing the onboarding of new hires
- Creating meeting agendas
- Managing records requests and subpoenas
- Marketing program and clinician availability
Qualifications for an ideal candidate:
- Experience in phone reception and customer service
- Working knowledge of MS Word, Excel, and Google Suite
- Ability to learn quickly and adapt to a fast-paced environment
- Strong communication skills and the ability to manage multiple tasks efficiently
- Calm and firm temperament for working with occasionally challenging clients
- Ability to effectively organize information and create structure
- Tracking and multitasking
- Initiative/self-starter for process and policy improvement
- A naturally positive disposition and professional attitude
- Ability to effectively work with and lead a team
- Clear and assertive communication skills
- Professional writing skills and ability to format documents
- A detail-oriented eye, especially with written material/data entry
- Must be vaccinated against COVID-19
Preferred Qualifications:
- Prior knowledge or interest in Psychology or the counseling field, must have a general understanding of mental health
- Strong reception and admin skills
- Experience working in a healthcare or clinical counseling environment with knowledge of HIPAA regulations
Ultimately, we are looking for an employee willing to grow with our agency and work towards becoming an Office Manager. Compensation starts at $20-$24/hour, depending on qualifications and experience.
