Mission
The Executive Assistant (EA) to the Chief Operating Officer (COO) plays a pivotal role in supporting the operational and strategic efficiency of the executive office. This individual acts as a trusted gatekeeper and partner to the COO, demonstrating exceptional judgment, business acumen, and discretion. The EA manages high-level communications, proactively anticipates the COO’s needs, and ensures that their time and attention are focused on priorities that drive the company’s mission and objectives forward.
Key Responsibilities
- Serve as the primary point of contact and liaison for the COO’s office, ensuring seamless communication and follow-through on priorities.
- Monitor and triage the COO’s email inbox; draft professional and confidential email responses for the COO’s review and approval.
- Manage and optimize the COO’s calendar, balancing multiple and often shifting priorities.
- Attend meetings alongside the COO, take precise and actionable notes, and follow up on key deliverables and commitments.
- Assist in the preparation of reports, presentations, and briefing materials for internal and external meetings.
- Maintain the highest level of confidentiality in all matters, including sensitive business, personnel, and strategic issues.
- Anticipate needs and act independently to resolve scheduling conflicts, escalate time-sensitive matters, and create capacity for strategic focus.
- Coordinate travel arrangements and expense reporting.
- Support COO’s initiatives with project tracking and basic project coordination.

Requirements

- Bachelor’s degree preferred or equivalent combination of education and experience.
- Proficiency in Microsoft Office Suite, Google Workspace, and collaboration tools like Slack, Zoom, or Asana.
- Familiarity with organizational dynamics and executive-level protocols.
Pay Range: $75,000-$110,000 annually. Pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. The total compensation package for this position may also include other elements dependent on the position offered.
