Regulatory Compliance & Credential Verification
Ensure all Hired Security Personnel hold required credentials, including:

- New York State Security Guard License
- 8-Hour & 16-Hour Certificates
- Applicable Fire Guard Certificates (F-01, F-02, F-03, F-04 etc.)
- CPR/AED/First Aid Certification
- Sexual Harassment Prevention Training Certification
- Any other relevant licenses or certifications
- Perform routine audits of personnel files to confirm compliance with NYC, NYS, and FDNY standards.
- Maintain a tracking system for certification expirations, proactively notifying employees of renewals.
- Verify guard registration on the company NYS roster and uphold the integrity of the master file.
Candidate Verification & Onboarding
- Interview candidates during peak periods to ensure professionalism.
- Conduct reference checks and coordinate background screenings for roles requiring Security clearances or handling sensitive data.
- Schedule orientation sessions and assist with guard onboarding as needed.
Human Resources & Administrative Support
- Transfer employee files to WinTeam, review data, assign taxes, and support W-4 claim processing.
- Oversee the scanning, uploading, and organization of electronic files to ensure accurate records.
- Temporarily cover HR roles during scheduling conflicts, call-outs, or breaks.
- Assist guards with onboarding process when needed
Audit & Quality Assurance
- Conduct internal audits to ensure adherence to company policies and regulatory guidelines.
- Collaborate with training providers to schedule mandatory courses and update compliance practices.
- Monitor and respond to regulatory changes affecting Security guard licensing and training.
- Other Duties as assigned and as needed
Preferred Qualifications & Experience:
- Education: Bachelor’s degree in Criminal Justice, Business Administration, Human Resources, or a related field.
- Experience: Minimum of 2 years in an Admininstration, compliance monitoring, or HR administrative roles in a related industry.
- Experience with HRIS systems, Winteam, Kwantek licensing databases, or compliance tracking software.
- Former experience in the Security field or as a Security Guard is a plus.
Skills & Competencies:
- Exceptional attention to detail and organizational skills.
- Strong verbal and written communication abilities.
- Ability to work independently while managing multiple priorities.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and electronic record management.
- Analytical mindset with effective problem-solving skills.
