Primary Purpose:
Facilitate and monitor the receiving, stocking, distribution, and inventorying of supplies, materials, and textbooks and assume responsibility for preparing assigned tasks efficiently and accurately.

- Proficiency with technology (computer, web-based technologies, and office applications software)
- Knowledge of textbook and testing materials management, policies, procedures, and computerized systems including the state’s online textbook system

- Ability to establish and maintain effective working relationships
- Ability to operate basic office equipment, computer, calculator, copier, fax machine
- Ability to follow oral and written instructions and the ability to communicate effectively
- Excellent organizational, communication, and interpersonal skills
Experience:
One to three years clerical experience, preferably in public education environment
Major Responsibilities and Duties:
- Perform routine office, secretarial, and clerical tasks including maintenance of a complete filing system.
- Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
- Conduct annual textbook audits utilizing the electronic inventory system.
- Facilitate the collection of out-of-adoption textbooks from campuses for disposal and/or donation.
- Ensure compliance with all textbook regulations and requirements as codified by the Texas Education Agency and district policies and procedures.
- Send collection letters to students and bill students for lost textbooks
- Assist in the editing and processing of timecards for the department.
- Perform other duties as assigned.
- Request and receive shipments of instructional materials to the campus in Frontline Instructional Materials Management software, formerly TIPWeb.
- Notify the District Coordinator/Textbook Specialist of any shortages or surpluses within 10 days of delivery.
- Require and ensure each non-consumable student and teacher book has a barcode label.
- Distribute materials to campus staff and/or students.
- Require regular material inspections to be conducted.
- Conduct an annual physical inventory of all instructional materials: Student editions, teacher editions, teacher materials, etc.
- Keep complete records of books in the inventory system, Frontline Instructional Materials Management. This will include any campus-owned materials not tracked by the district.
- Receive and barcode newly adopted instructional materials that replace expiring materials, replacement of consumables, and/or supplementary orders to cover expanded enrollment that is delivered in the summer.
- In May, should start collecting books from teachers and students and scan/check-in in Frontline Instructional Materials Management inventory software.
- May/the end of the year, any books that are still distributed to students or staff should be changed from a status of distributed to a status of lost in the Frontline Instructional Materials Management software.
- In MAY - Send letters to students, parents, and staff notifying them of lost instructional materials that need to be returned before the June onsite inventory audit.
- At the end of the year, run a report showing all the lost materials by running a student status reportand a teacher status report both filtered by the status of Lost to get a list of all the lost materials and the student or teacher who is responsible for returning the missing materials.
- Work with office staff to make sure books turned in over the summer are checked off the Lost report.
- Ensure students who have lost materials have been billed for in the student fee system, InTouch.
- Charge students for any damaged or lost textbooks
- Return Out of Adoption books via Asset Deletion
- Perform other related duties as assigned within the appropriate skill and experience capabilities expected for this position.
