We are seeking a detail-oriented and organized Office Manager with Bookkeeping and Sales experience to join our team.
The ideal candidate will have experience in Sales, bookkeeping, administrative tasks, and office management. This role is responsible for accounting/sales and ensuring the smooth operation of our financial processes.
Duties:
- Assist in managing and maintaining sales, financial records, including accounts payable and accounts receivable and sales
- Prepare and process invoices, purchase orders credit memos, and journal entries in a timely manner.
- Handle vendor inquiries, customer sales inquiries and resolve any issues promptly.
- Manage our phone systems, ensuring all calls are answered, customers and vendors serviced.
- Coordinate with the HR department to ensure accurate and timely payroll processing.
- Assist with estimate scheduling and managing our office calendar.
- Perform other administrative tasks as needed, including preparing reports, managing office equipment, and performing general office duties.
- Utilize QuickBooks to manage our financial records and ensure accurate and timely financial reporting.
- Develop and maintain effective communication skills, ensuring that all stakeholders are informed and up-to-date on financial matters.
Qualifications
- High school diploma or equivalent required.
- Proficiency in QuickBooks, Microsoft Office Suite. Minimum 5 years of active experience .
- Strong administrative and organizational skills.
- Excellent phone etiquette and communication skills.
- Ability to work in a fast-paced office environment.
- Experience in vendor management and scheduling.
- Familiarity with human resources and payroll processing.
- Detail-oriented and accurate in financial record-keeping.
- Ability to maintain confidentiality and handle sensitive information.
- Ability to work independently and as part of a team.
