Job Description: Controller

Job Summary
The Controller assists the Director of Finance with the financial function of the school, ensuring accurate and timely financial information for constituents. This position may offer the opportunity for some remote work.
Certifications and Qualifications
- Bachelor’s degree in accounting required
- 3 years of nonprofit leadership experience required, experience in an independent school highly preferred
- Current (dated within a year) Act 34, 114, and 151 clearances
- Educationally minded
- Ability to work independently in person or virtually as needed
- Strong analytical skills
- Experience with Blackbaud Financial Edge
- Strong spreadsheet and word processing skills
Essential Duties
Accounting and Financial Functions
Assist the Director of Finance with:
- the day-to-day processes related to the school's accounts payable, accounts receivable, purchasing, investing, and payroll functions – to include, but not limited to, data entry, processing, review, etc.
- the school's integrated, automated financial management information systems
- obtaining the necessary information for the management of the school's cash-flow
- obtaining the necessary information for the management of the school's regular financial statements and analysis of accounts
- the month- and year-end close out and reconciliation processes
- communicating accounting policies and procedures to employees and ensure compliance with said policies and procedures
- ensuring the timely follow up on payment of outstanding balances
- lease compliance
Ensure accurate coding for and approval of all revenue, expenditures, journal transactions, etc.
Ensure the proper receipt and recording of development monies in the school's accounting systems, in coordination with the Director of Finance and Director of Advancement.
Follow the school's internal controls, policies, and procedures
Maintain accurate and appropriate general ledger chart of accounts and associated lists such as projects and grants
Prepare, post, and assist in the reconciliation of financial data
Resolve any reporting issues with the requisite agency
Communicate with constituents and stakeholders as it relates to the essential duties of this position
Maintain an understanding of industry-specific trends, activities, and best practices
Maintain compliance with and stay abreast of governmental regulations, accounting best practices, legal statutes, and other compliance bodies
Annual Budget
Assist the Director of Finance with developing and monitoring the annual budget
- Work with members of the Executive, Senior, and Operations teams to assist with the preparation of the Annual Budget, to include regular variance reporting to these constituents
Audit and Tax Filings
Assist the Director of Finance with:
- preparing for the school's audit and form 990 and, where directed, in the preparation for or creation of other necessary forms or reports that may be used for other tax-related purposes
- filing of required forms, including but not limited to forms related to tax, compliance, registration, licensure, accreditation, etc.
Reports and Analysis
- Provide support for the Director of Finance at Finance Committee and Board meetings
- Engage with other members of the team to facilitate collaboration and ensure that all financial functions support the strategy and mission of the school
- Assist other members of the Executive, Senior, and Operations teams in finance-related activities
- Assist the Director of Finance:
- in vendor management, including the receipt and storage of W9s, contracts, and basic vendor and insurance information
- in analyzing programs for financial sustainability and effectiveness by implementing data plans, gathering and analyzing data, and producing reports
- in creating audience-focused reports, dashboards, and other materials that accurately demonstrate the school's position
- Manage the school's financial records, in accordance with the school's record retention and destruction policies
- Assist in the completion of annual data surveys such as PAISBOA's Annual Survey and NBOA's BIIS/DASL surveys
Additional Duties and Responsibilities
- Ensure all information is kept private and confidential
- Ensure working environment holds to the ASUA’s privacy and confidentiality standards
- To read and abide by the Employee Handbook including updates and changes
- To attend all mandatory meetings, including those that fall outside of regularly scheduled school hours and as described in the Employee Handbook
- Adhere to ASUA’s policies, procedures, and methodologies

Organizational Relationships & Supervisory Responsibilities

Work Environment Requirements

Equipment/Material Handled
The individual in this position shall be assigned a variety of resources and materials which are to be appropriately stored and accounted for. All media resources and borrowed material are to be judiciously used, and are to be maintained in a reasonably unsoiled and non- damaged fashion. Must know how to properly operate or be willing to learn to operate all multimedia equipment including current technology.
