Job Summary
The School Services Coordinator (SSC) serves as a critical liaison between A Step Up Academy and its external constituencies such as current and prospective families, guests, partners, and more. The SSC should be welcoming, personable, helpful, and able to represent the school in a professional and friendly manner. The SSC assists with various administrative tasks related to student and school services. It is essential that the person for this role is organized, able to multitask, work flexibly and independently, and have a ‘can do’ approach to work, as no two days are the same.
Certifications and Qualifications
- High School Diploma or equivalent
- Current (dated within a year) Act 34, 114, and 151 clearances
- Experience in a special education school setting
- Ability to work independently in person or virtually as needed
Essential Duties
Administrative
- Assist with other duties, as assigned by members of the Executive and Director Teams for the purpose of completing their administrative work functions
- Assist the Operations Team with the collection and maintenance of visitor clearances
- Assist the Operations Team with the maintenance of any and all Emergency Preparedness Systems
- Assist with the maintenance of administrative systems
- Build and maintain strong, supportive relationships with faculty, staff, parents and other caregivers, partners, and other constituents with a respect for cultural diversity
- Communicate with constituents and stakeholders as it relates to the essential duties of this position
- Ensure that the reception area is kept tidy, accessible, and that all notice boards are kept up-to-date and decorated in a tasteful and appropriate manner consistent with the school's culture
- Ensure the safe operations and security of the school premises to include but not limited to monitoring reception and all access/egress points, ensuring that all points are locked and access to the premises is controlled, reporting unusual behavior, operating the visitor management system, etc.
- Lead by example in a way that positively supports the school's mission, vision, philosophies, morale, and culture
- Monitor and refill first aid kits and maintain a list of basic items required in each kit
- Receive, sort, log (where necessary), and distribute mail and deliveries.
- Recognize faculty and staff birthdays and maintain a calendar of relevant dates
- Travel between campuses as needed and directed
- Utilize the Microsoft Office Suite, the Google Suite, Student Information System, Learning Management System, and any other school database, software, and/or hardware utilized by the school
- Assist the Operations Team with setups for community education activities, meetings, and other events, as directed
Reception
- Act as the first point of contact for the school: welcome visitors and respond to telephone and email inquiries in a helpful and constructive manner and ensure that proper and appropriate actions are taken in a timely manner
- Answer the phone, receive and distribute voicemails, and make phone calls as needed
- Greet visitors and log them in and out, ensuring they are in all visitor management systems
- Provide excellent customer service, with the ability to use discretion, patience, tact, and responsibility. Maintain confidentiality.
School Services
- Assist with the admissions process to include but not limited to: receiving admissions calls and emails, recording details of enquiries, assembling informational packets, providing basic school information, perform tours, schedule parent and student visits
- Attend trainings regarding special education and licensing regulations as applied to the functioning of private special education school and apply that to compliance procedures and processes
- Complete new student registration and re-enrollment documentation and follow up as needed to ensure the timely receipt of all necessary forms and paperwork
- Contact parents and guardians using school systems and ensure that information is communicated to all relevant parties
- Lead the arrival and dismissal of students to include the communication with all relevant parties such as parents, emergency contacts, and transportation companies
- Liaison with school districts, charter schools, and transportation companies regarding all aspects of student transportation
- Maintain all aspects of a student's file in accordance with local, state, and federal laws and regulations and with ASUA's policies and procedures
- Maintain student data in the Student Information System
- Oversee the process for compliance procedures including the appropriate documentation and reporting for restraints, student injuries, staff injuries as a result of student-based situations, tracking incidents, reviewing for trends and reporting to the appropriate member of the Director or Executive Teams.
- Record attendance and maintain attendance records
- Respond promptly and professionally to individual and family needs and requests, maintaining confidentiality
- Respond to student record requests and ensure the proper documentation of consent to release information
- Schedule nurse visits and assist with the collection and proper storage of all student medical records, in accordance with local, state, and federal laws and regulations and with ASUA's policies and procedures
Additional Duties and Responsibilities
- To read and abide by the Employee Handbook including updates and changes
- To attend all mandatory meetings, including those that fall outside of regularly scheduled school hours and as described in the Employee Handbook
- Adhere to A Step Up Academy’s policies, procedures, and methodologies

Organizational Relationships & Supervisory Responsibilities

Equipment/Material Handled
The individual in this position shall be assigned a variety of resources and materials which are to be appropriately stored and accounted for. All media resources and borrowed material are to be judiciously used, and are to be maintained in a reasonably unsoiled and non- damaged fashion. Must know how to properly operate or be willing to learn to operate all multimedia equipment including current technology.
