This job can be described as:

At Chesterton, we have a laser focus on our customers. The Documentation Specialist I works closely with our Customer Service Team (CST), Global Finance Service, (GFS) and our Shipping area to achieve the highest level of customer satisfaction. A good understanding of Domestic and International shipping regulations is required for a wide variety of non-hazardous products via LTL and many Parcel carriers. The proper documentation must be created accurately and completed in a timely manner to meet both Customs and our Customers’ requirements.

Job Model:  On-Site

All fully remote positions will require you to travel on site 2-4 times per month depending upon business needs at your own expense.

 

Hybrid positions will require employees to work both on-site and remote each week under a schedule that has been determined and agreed upon by you and your manager.

 

On-Site positions will require employees to work on-site for each of their scheduled shifts.

 

A typical day at work would include:

  • Prepare documentation, including but not limited to, invoices, certificates of origin, and bills of lading for air freight, LTL, and parcel carriers.
  • File AES when required.
  • Record and determine inland freight fees.
  • Obtaining freight quotes.
  • Maintain customer documentation in an electronic and hard copy format.
  • Notify CST/customers of estimated dates of departure and arrival of orders.
  • Responsible for maintaining relationships and working closely with CST, GFS, and freight forwarders to ensure banking documentation is prepared in accordance with Letters of Credit specifications.
  • Responsible for staying current with various countries and customer specific shipping/documentation requirements.
  • Coordinate shipments with carriers for air freight, parcels, and LTL shipments.
  • Responsible for coordinating inspections of international shipments (if applicable).
  • Maintain knowledge of shipping regulations.
  • New assignments, as identified or developed, may be added.
  • Must seek higher level of authorization to make invoice adjustments.
  • Work is reviewed weekly for soundness of judgment and overall adequacy and accuracy.
  • Frequent internal and external contact with customer service and freight forwarders.
  • Ability to prepare and analyze various shipping and invoicing documents.

 

Experience you need coming into this job:

  • 1-2 years related business experience preferred.
  • High School diploma or equivalent.
  • College or business school coursework preferred.
  • Ability to work under general supervision.
  • Ability to lift up to 25 lbs. as needed for the role.
 
  • Works independently and as a team member.
  • Requires knowledge of DOT and U.S. Export regulations and guidelines.
  • Strong interpersonal skills and the ability to work with people at all levels in the organization.
  • Computer skills and Microsoft Office experience required.
  • Ability to prepare and analyze various shipping and invoicing documents.
  • Strong analytical and problem-solving skills.
  • Basic math skills including metric equivalents.
  • Detailed direction given for new assignments or special projects.
  • Strong written and verbal communication skills.
  • Ability to work under pressure and assign priorities.

Employees assigned to certain tasks within this job may be required to participate in our Medical Surveillance Program. While performing the duties of this job, the employee is occasionally required to stand, walk, sit, talk, or hear and reach with hands and arms. Ability to lift up to 25 lbs. on a regular basis. Ability to work and walk about in a manufacturing shop floor environment, wear required protective clothing, i.e., steel toe shoes and safety glasses. Must be able to adhere to any requirements of the job, and reach with hands and arms. Specific vision abilities required by this job include close vision. Moderate noise (i.e., computer printers, traffic) exists daily in the work environment. Exposure to high temperature and noise levels may exist the work environment.

Targeted pay range: $23.50/hr. - $25.50/hr.Chesterton is committed to paying all its employees in a fair and equitable manner. The pay range associated with this position ($23.50/hr. - $25.50/hr. DOE) is Chesterton's good-faith salary estimate for the presently available position. Please note that the final salary offered for any position will be based on many factors, including but not limited to: candidate qualifications such as education and experience, internal equity, geographical location, and budget.
