The Executive Assistant will play a critical role in amplifying the impact of our executive team by managing schedules, organizing meetings, and providing seamless administrative and strategic support. Key Responsibilities
Compensation Range: $70K - $100K
The Executive Assistant will play a critical role in amplifying the impact of our executive team by managing schedules, organizing meetings, and providing seamless administrative and strategic support. Key Responsibilities
- Executive Support:
- Provide high-level administrative support and assistance to the COO, CFO, and Chief Growth Officer, ensuring seamless day-to-day operations and amplifying their impact on the organization.
- Manage complex calendars, scheduling meetings, and organizing travel arrangements with detailed itineraries, and maintain flexibility to travel when needed.
- Serve as the primary point of contact for internal and external communications on behalf of the executives.
- Prepare meeting agendas, materials, and follow-up action items for monthly operations meetings with private equity partners and other key stakeholder meetings.
- Draft, proofread, and edit correspondence, reports, and presentations.
- Manage sensitive matters with the utmost confidentiality and discretion.
- Meeting and Event Coordination:
- Schedule and attend meetings on behalf of executives, preparing agendas, capturing detailed meeting minutes, and following up on action items to ensure alignment and progress.
- Plan and execute events such as team-building activities, training sessions, charity events, conferences, and vendor summits.
- Organize monthly operations meetings with private equity partners and key vendor/partner meetings, ensuring all logistics and materials are in place.
- Operational Efficiency:
- Anticipate the needs of the executive team and proactively address challenges before they arise.
- Prepare polished presentations, reports, agendas, and other documents using Microsoft Word, Excel, and PowerPoint.
- Conserve executives’ time by proactively researching, collecting, and analyzing information in advance to support decision-making.
- Communication and Collaboration:
- Act as a liaison between executives, internal teams, and external stakeholders, fostering professional and clear communication.
- Be consistently responsive to emails, texts, and phone calls, including outside normal business hours as required.
- Support the preparation of reports, KPIs, and updates required by keys stakeholders, as needed.
- 3 years as an executive assistant experience
- High school diploma required, bachelor’s degree in business administration or related field preferred
- Advanced proficiency in Microsoft Office to include Outlook, Word, Excel, PowerPoint, Teams, etc.
- Excellent verbal and written communication skills
- Excellent organizational skills and attention to detail
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- This position works in a traditional office setting environment with long periods of sitting and working on a computer.
- Must be able to lift up to 15 pounds at times.
