We are looking for Administrative and Legal Assistant (all genders) (full-time) for our team!
Full-time: 40h/week
Responsibility:
- Administrative Support: Manage schedules, coordinate meetings, handle correspondence, and organize office operations.
- Document Management: Maintain and organize physical and electronic document systems while ensuring accessibility and confidentiality.
- Communication: Manage phone calls, emails, and inquiries; liaise with authorities and external stakeholders.
- Legal Assistance: Support contract drafting and review, handle basic legal inquiries, and translate documents.
- Data Protection: Develop and maintain a data processing register, assist with privacy impact assessments, and ensure compliance of IT systems with data protection regulations.
- Project Support: Conduct research, analyze data, prepare reports, and maintain a contract management tool.
- Credit Checks and File Management: Create and manage files, and conduct credit checks as required.
- Meeting Organization: Prepare agendas, take meeting minutes, and follow up on action points.
- Substitution Tasks: Provide coverage for team members during absences.
Education & Experience:
- Completed commercial apprenticeship or a similar qualification.
- Experience in administrative or legal tasks is an advantage.
- Advanced skills in MS Excel
- Experience in a global, ideally in a matrix organization
Knowledge, Skills, and Abilities:
- Structured and independent work style.
- Strong organizational and communication skills.
- Proficient in MS Office and ideally knowledgeable in data protection law.
- Excellent German and English skills, both written and spoken.
