WHAT WE ARE LOOKING FOR: Freedom Center Coordinator


JOB PURPOSE

  • The Freedom Center Coordinator assists the Aftercare Manager in coordinating the day-to-day activities, schedules, and providing structure and accountability to the Freedom Center. 
  • Facilitate all administrative duties eg. booking appointments, effective communication processes etc. 
  • Manage volunteers to support the overall functioning of the Freedom Center. 


MAIN RESPONSIBILITIES/ KEY DUTIES 


Working with Freedom Center Logistics

  • Outwork global and office-specific programs and policies as related to financial bookkeeping, volunteer program, project requests, local events and day to day tasks. 
  • Welcome incoming survivors to the Freedom Center, manage incoming calls as needed.
  • Track and report Freedom Center finances as per monthly budget, safe keep receipts and submit/ report to the Aftercare Manager regularly.
  • Oversee Freedom Center essentials/ cleanliness as it pertains to the office environment and upkeep.
  • Coordinate and maintain connections with third parties for utilities, bills, and other maintenance upkeep with the Freedom Center and vehicles.
  • Organize various facets of communication that impact the work of all Freedom Center staff; i.e. Coordinating materials used by Caseworkers, assist with weekly team meetings, etc. 
  • Host guests (partner organizations, donors, etc.) that are coming to the DFW Freedom Center, including scheduling guests with consideration of survivor appointments, creation of itineraries and planning staff outings.


Working with the Aftercare Program

  • Work with the Aftercare Manager to maintain a positive staff culture. This includes leading by example, creating fun events and staff celebrations and other check-ins on staff culture and wellness.
  • Ensure all Caseworkers/ Social Workers have all materials needed to commit their full attention towards the survivors, this includes maintenance and development of the resource lists and regularly checking in on partner intake requirements, etc.
  • Greet survivors upon entry to the Freedom Center. Assist survivors during meetings, court hearings, educational training, and any other needs that may arise as directed by the Aftercare Manager. 
  • Work with Aftercare Manager, Caseworkers and Careworker(s) to develop budgets for various expenditures for Survivors. Work with the team to develop bundles and gifts for Survivors for holidays and milestones (moving into their own home, a child’s birthday, having a baby, etc.). 
  • Assist with Law Enforcement Operations as directed by the Aftercare Manager. 
  • Respond to crisis situations as directed by the Aftercare Manager and Caseworkers. This may include, but is not limited to, transporting a new survivor for A21, travelling to other cities or towns to assist survivors, responding to medical or psychological emergencies for a survivor. 
  • Work with the Aftercare Manager to build and maintain local partnerships, which can include churches, nonprofits, service providers, and law enforcement. This includes sending holiday cards, hosting events, and developing regular communication materials as directed by the Aftercare Manager.
  • Document all contacts and relationships developed. Including saving business cards, taking and keeping notes from all meetings and calls.
  • Other aftercare support and management duties as assigned.


Managing the Volunteer Program (when applicable)

  • In collaboration with the Global Support Office, assist in the intake process for volunteers including but not limited to applications, gaining the necessary background check approvals, references, conducting interviews, and scheduling onboarding
  • Train Freedom Center Volunteers and equip them with the information they need to accomplish tasks and projects within the Center.
  • Manage an ongoing list of volunteer projects and assist to ensure they are done in a timely fashion
  • Set up a Trello project list for volunteers and train direct care staff on how to request a project.
  • Assist Aftercare Manager to lead volunteers for the duration of their intake, especially in regards to Team DNA. 
  • Supervise volunteers’ various projects to ensure deadlines are being met and content is up to date and accurate. 
  • Regularly meet with volunteers to review and reconcile any concerns or questions they have. 


General Duties 

  • Maintain the general appearance and cleanliness of the Freedom Center and vehicle including arranging for items needing repair.
  • Ensure all stock is supplied and restocked where necessary.
  • Attend to any other areas of concern as directed by the Aftercare Manager.


Other Duties

  • Work with Aftercare Manager and A21 leadership on the program strategy, development, and overall launch of the Freedom Center, as well as continued strategic input as the program develops over time.
  • Work with volunteers to assist all employees in day to day activities, as to alleviate the workloads of employees.
  • Attend and/ or plan regular staff meetings as directed by the Aftercare Manager.
  • Stay up to date on all relevant aftercare trainings to be able to provide logistical backstopping support for direct care staff


PERSONAL SPECIFICATIONS -  Qualifications, Experience, Knowledge & Skills


ESSENTIAL:

  • Ability to build and create systems
  • Self-starter
  • Demonstrated ability to use technology, including word documents, email, electronic database management, and page layout.
  • Experience in working with a variety of external groups including; Church/Ministry, NGOs and other organizations.
  • Ability to work with a diverse group of people, to work with teams to meet targets.
  • High level of interpersonal, organizational and professional skills for dealing with external organizations.
  • Experience in setting and managing budgets.
  • Good organizational skills and ability to work in a fast-paced environment.
  • Flexible with an ability to change tasks quickly and efficiently as needs are communicated by the Aftercare Manager and Caseworkers. 
  • Ability to demonstrate sound judgment.


DESIRABLE:

  • Ability to speak other languages.
  • Educated to degree level (preferably in Business Administration/Management or Human Resources)
  • Understanding or minor degree in psychology or similar content.
