About the Role:
The Brand Engagement Assistant will work closely alongside the Vice President of the division. The ideal candidate will be a proactive problem-solver with exceptional organizational skills and an eye for meticulous attention to detail. This role is pivotal in helping keep the department organized by supporting a series of daily, weekly, and monthly operational and reporting priorities.
We are looking for a highly self-motivated, professional, and capable person that is comfortable managing their workload and prioritizing tasks in a fast-paced environment.
Primary Responsibilities (include, but not limited to):
- Maintain oversight of all assigned projects from start to finish, ensuring that both client objectives and internal objectives are being delivered upon.
- Work closely with Technical Director, Director of Operations and Project Managers for all projects.
- Manage working timelines for clients, vendors, and internal teams as assigned by Vice President.
- Communicate tasks and responsibilities to team members, ensuring efficient workflow and collaboration.
- Understand and thoroughly prepare project SOWs, update project budgets, and manage vendor invoices and payments working closely with the Director of Operations and Finance Department through actualization.
- Handle Salesforce updates and reports for the division.
- Oversee the updating of client agreements and invoicing for projects.
- Develop tracking boards for creative, ensuring project names are uploaded and tagged.
- Maintain tracking for all creative builds with design team and help Vice President with the ideation of creative concepts.
- Work alongside Project Managers and Director of Operations to order accessories for any assigned project.
- Organize Vice President’s schedule and serve POC for client communications including the recapping of all meetings notes for internal and external uses.
- Work alongside Vice President in developing weekly email marketing outreach messaging using Seamless AI and Yesware platforms.
- Other duties to be assigned as needed.
Skills Qualifications Needed:
- Minimum 2 years of work experience in a role(s) that commanded detailed organization.
- Excellent oral/written communication, analytical and interpersonal skills to effectively
- Work with all levels within the organization in addition to clients, partners, and vendors
- Detail-oriented and very organized.
- Ability to perform under pressure managing to strict deadlines.
- Works well with a hybrid & remote team.
- Software Suite Experience: Microsoft Office, Canva, Adobe Suite (Acrobat, Illustrator, etc.)
- Flexibility to travel throughout the year including weekends.

Salary Range: $50,000-$62,000.
