Job Purpose Summary:

Travel Reservations Specialist are responsible for selling, arranging, and facilitating travel arrangements for AAA Members/clientele by purchasing commodity travel products and making reservations for domestic and international destinations.  Working as a member of the AAA One Team, the Travel Reservations Specialist provides remarkable experience and service to AAA’s members/clients, ensuring their total satisfaction as reflected on Total Satisfaction survey scores. 

Opportunities exist at AAA Central Penn’s Carlisle and West Shore branches.

Essential Functions:

• Advises, plans, arranges, and sells commodity travel products including air, train, car, and hotel reservations as well as travel insurance.
• Uses AAA designated computerized ticket and reservation systems, specialized department software and other available resources to make reservations; utilizes the AAA back-office accounting system and membership interface.
• Arranges payment for all elements of accommodations and services including but not limited to domestic and international airline tickets, Amtrak, car rentals, lodging, travel insurance, sightseeing and excursions. Builds trip within AXIS system, enters payment details, mails out invoices and all other required written communications to clients such as Client Acknowledgement Forms, Liability Release forms, Final Payment letter, etc.
• Responsible for using the AAA Preferred Product line of suppliers.

• Responsible for achieving targeted sales goals.

• Provides related advice regarding documentation, travel insurance, AAA financial products, currency, and destination knowledge.
• Participate in AAA sponsored training events and other seminars including independent study to further their career knowledge.

• A key contributor to the Member Satisfaction scores, the Travel Reservations Specialist is responsible for engaging with members/clients in a manner to ensure we are “Totally Satisfying” or exceeding expectations. 

• Assists in planning, preparing, and participating in AAA promotional events.
• Responsible for knowing the benefits of AAA Membership by selling and processing AAA Memberships.
• Aides Travel Advisor in processing client files; upon collection of initial deposit by Travel Advisor, builds trip within AXIS system, enter client payments, mail out invoices and all other related written communications to clients such as Client Acknowledgement Forms, Liability release forms, Final Payment letter, etc.
• Quality control reservation by comparing vendor confirmation to AAA itinerary issued and review reservation/activities for accuracy.  Check incoming travel documents for accuracy and communicate arrivals to Advisor.  Ensure data collection of all contact information is complete and up to date in the AXIS system.
• Assist with and complete online check-in for cruises, tours, Disney as well as prepare bag tags.
• Assist Travel Advisor with Disney reservations including arranging dining, fireworks, special events, and activities. Assist with cruise bookings to include excursions or extra packages.

The ideal candidate will possess:

• High school diploma or GED; travel school/experience is preferred.
• In-depth knowledge of geography.
• Proven success in a sales environment.
• Excellent communication skills including in person, writing, and over the phone.
• The ability to work independently with minimum supervision.
• Exceptional computer skills - accuracy is vital to this position!
• A demonstrated ability to multi-task and maintain time management.
• Excellent problem-solving and decision-making skills.
• Ability to plan and participate in AAA promotional events.
• Flexibility to work outside normal working hours, as needed.
• The ability to pass a criminal background check and drug screen
