As an Administrative Assistant, you will play a crucial role in supporting our day-to-day operations. The successful candidate will be responsible for performing a variety of administrative and clerical tasks to help support the Director of Client Services in Phoenix to ensure efficient and smooth business operations. This is an excellent opportunity for someone who is organized, proactive and thrives in a fast-paced environment. This job position is a full-time in-person position.
Reports to: director of Client Services in Phoenix (DCS)
Division: Landscape Management
Salary Range: $24.50 - $26.50 an hour (DOE) (hourly non-exempt)
Key Responsibilities:
- Provide general administrative support to team members and management.
- Answer and direct phone calls, emails, and inquiries in a professional manner.
- Maintain and organize physical and digital files, records, and documents.
- Schedule meetings, appointments, and travel arrangements as needed.
- Assist with preparing reports, presentations, and correspondence.
- Monitor and order office supplies, ensuring adequate inventory levels.
- Process invoices, receipts, and other financial documents.
- Coordinate with internal departments and external vendors as required.
- Assist in organizing company events, training sessions, or meetings.
- Handle data entry, filing, and other clerical tasks to ensure office efficiency.
- Assist on posting on social media as needed.
- Assist other team members in projects.
- Other Duties Assigned
Qualifications:
- High school diploma or equivalent (associate’s or bachelor’s degree preferred).
- 1-3 years of experience in an administrative or office support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office tools.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to prioritize tasks and handle multiple responsibilities efficiently.
- Attention to detail and problem-solving skills.
- Professional demeanor and the ability to maintain confidentiality.
