The Associate Registrar for the School of Medicine and Advanced Medical Engineering is a critical role responsible for developing and overseeing all registrar functions for ASU’s new medical school. This position will ensure compliance with institutional, state, and federal policies, as well as accreditation standards specific to medical education. The Associate Registrar will work closely with faculty, staff, and leadership to establish and manage processes for student records, registration, academic scheduling, and graduation.
During the initial year, the Associate Registrar will be in University Registrar Services to establish foundational processes and procedures. Following this period, the position will transition to the School of Medicine and Advanced Medical Engineering, with continued support from University Registrar Services as needed.
Working Environment
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Occasional bending, reaching, lifting, pushing and pulling up to twenty-five (25) pounds. Regular activities require the ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Evidence of communication skills necessary to perform essential functions.

Essential Duties
Student Records Management
- Develop and manage systems for secure and accurate maintenance of student academic records in compliance with FERPA and institutional policies.
- Implement and maintain systems for managing medical student records, including clinical rotations, milestones, and assessments.
- Oversee processes for transcript requests, enrollment verification, and other official documentation.
- Coordinate student registration for courses, clinical rotations, and other academic activities.
- Develop and manage academic schedules, including clinical rotations and exam schedules, in collaboration with faculty and academic leadership.
- Ensure compliance with accreditation and institutional requirements for scheduling and registration.
- Verify completion of graduation requirements and manage the degree conferral process.
- Coordinate with leadership to support graduation ceremonies, including diploma preparation and academic regalia.
- Ensure compliance with accreditation standards and institutional policies related to academic records and registration.
- Provide data and documentation for accreditation reports and reviews.
- Establish and refine processes for registrar functions, ensuring efficiency and alignment with medical education best practices.
- Collaborate with University Registrar Services and Enterprise Technology to leverage existing systems and resources.
- Serve as a key liaison between the School of Medicine and University Registrar Services.
- Work closely with faculty, staff, and leadership to address academic policies and student needs.
- Supervise and mentor staff supporting registrar functions within the School of Medicine.
- Generate and analyze reports on student enrollment, progression, and outcomes to support decision-making and accreditation requirements.
- Ensure accurate reporting of data to internal and external stakeholders.
- Bachelor’s degree in business administration or related field preferred.
- Five (5) or more years of administrative management experience in a Registrar’s Office of a large university.
- Experience with computerized information and student database systems.
- Experience with clinical rotation scheduling and management.
- Familiarity with medical school milestone tracking and reporting.
- Demonstrated ability to establish processes in a new or evolving academic setting.
- Knowledge of accreditation standards for medical education (e.g., LCME, etc).
- Strong organizational and problem-solving skills.
- Proficiency in student information systems (e.g., PeopleSoft, Banner) and medical education platforms.
- Evidence of strong communication and collaboration skills.
- Ability to manage multiple priorities and work effectively in a fast-paced environment.
