What We Are Looking For:
We are seeking a detail-oriented Collections Specialist with experience in the restoration industry to oversee accounts receivable, collections, and billing processes. This role will involve working closely with customers, insurance carriers, and Third-Party Administrators (TPAs) to ensure timely collection of owed funds.
Responsibilities:
- Coordinate with office staff to ensure efficient and timely collection of payments.
- Manage invoicing and collection procedures to maximize receivables.
- Communicate with customers, insurance carriers, and TPAs to resolve payment delays and disputes.
- Own and oversee A/R processes, including collections, billing, and reconciliation.
- Handle complex billing scenarios for insurance-related restoration projects.
- Ensure final billing aligns with work completed by reconciling proposals, pay-items, and work orders.
- Work with project managers, estimators, and administrative staff to clarify and resolve any billing discrepancies.
- Provide feedback to staff on documentation deficiencies that impact invoicing and collections.
- Facilitate payment transactions, including credit card payments and inbound transfers.
- Research and respond to customer inquiries related to invoices, payment terms, and balances.
- Maintain regular follow-ups with delinquent accounts and establish payment plans when necessary.
- Manage and track accounts in collections, escalating when necessary.
- Develop and implement process improvements to increase efficiency in collections.
- Generate and analyze reports to track outstanding invoices and collection performance.
- Assist with other office tasks as needed.
Skills & Qualifications:
- Experience in restoration, insurance billing, or construction industry collections is highly preferred.
- Proficiency in QuickBooks and Microsoft Excel.
- Strong analytical skills with the ability to generate and present detailed reports.
- Excellent communication and problem-solving skills, with the ability to professionally handle difficult conversations.
- Ability to learn new systems quickly and adapt to evolving processes.
- High level of organization, attention to detail, and ability to work in a fast-paced environment.
