Key Responsibilities
- Schedule and coordinate meetings, prepare agendas, and distribute background materials
- Create, maintain, and distribute meeting notes, action items, and shared milestones
- Research and compile materials to support meetings, presentations, and conferences
- Screen telephone calls, visitors, and incoming correspondence
- Respond to external inquiries in a professional and timely manner
- Assist with travel arrangements and logistics
- Maintain, organize, and update physical and digital files
- Serve as a liaison between internal offices and vendors, ensuring clear communication
- Assist vendors with completing required institutional forms
- Must have a Bachelor’s degree in Business Administration
- Must have 2-5 yearsof administrative, executive support, or office management experience
- Intermediate proficiencyinMicrosoft Office (Outlook, Word, Excel, Teams)
- Exceptional written communication skills, including proper grammar, spelling, and punctuation
- Strong organizational and multitasking abilities
- Tact and diplomacy in resolving scheduling conflicts and managing stakeholder interactions
