Job Description :
The General Clerk II will provide essential support for the Personal Property General Administrative / Storage Management support stations. The candidate will work on-site from 0730-1600, Monday to Friday, excluding federal holidays.
Key Responsibilities :
- Provide on-site support at Personal Property General Administrative / Storage Management support stations.
- Assist in managing Temporary and Non-Temporary Storage lots, including processing storage extensions and documenting shipments.
- Enter personnel information data into the Transportation Operational Personal Property Standard System (TOPS) or Defense Personal Property Transportation System (DPS).
- Scan and retrieve documentation into TRIM / DON TRACKER electronic file folders daily.
- Respond to all member / employee and TSP requests for information.
- Assist with answering questions and providing information to service members.
- Locate service members using various military locator systems to provide shipment status and obtain required documentation.
- Open U.S. mail for distribution within the office and destroy / shred completed file folders.
- Assist in processing shipments in both Storage-in-Transit (SIT) and Non-Temporary Storage (NTS).
- Pull records, sort data, submit metrics, scan, and file records.
- Notify members / employees of storage expiration dates via phone, email, and certified mail.
- Review requests for storage extensions to ensure expedited processing and compliance with prescribed rules.
- Notify TSP / contractor if shipment is to be converted to commercial storage via email, certified letters, and phone calls.
- Identify and resolve issues or elevate them to the Vendor / Storage Management COR / DGR as appropriate.
- Ensure proper receipts and documentation are attached to invoices.
- Process and submit manual invoices to the Department Finance and Accounting Service (DFAS) for payment.
- Arrange pick-up and delivery of personal property shipments.
- Perform shipment-related tasks, including placing shipments in Storage in Transit (SIT) and processing shipment changes.
- Scan documents into TRIM folders or file and retrieve manual or electronic files.
- Assist other employees with personal property tasks as required.
