Job Title : Records Specialist (43317)
Job Locations : 2416 Courthouse Drive Bldg. 19 Suite 204, Virginia Beach, VA 23460
Schedule : Monday – Friday, 8 : 00am – 4 : 00pm (may include occasional weekends)
Payrate : $18.91 / hourly
Performance Standards : Accurately analyze recordkeeping practices and thoroughly inventory records; prepare complete and thorough reports and recommendations regarding records disposition and records storage, retrieval and disposal systems and equipment; conscientiously assist in the operation of the records center; readily perform records technician duties as required through cross-training.
Job Duties :
- Must be able to lift 50 - 60-pound boxes / which can be daily
- Maintain cleanliness of storage facilities and assist with building maintenance issues as needed.
- Accurately label, retrieve, transfer, and shelve boxes and files in storage facilities as per work orders.
- Review and correct any erroneous information in the Total Recall (TR) database, which is a software specific to the Records Management program.
- Locate Records Transfer Lists with past destruction dates, alphabetizing then by department / division, and them by destruction date (paper format).
- Create destruction reports using the TR database to compare against paper records to ensure boxes are accounted for and destroyed in a timely manner based on the general schedules provided by the Library of Virginia (LVA).
- Using the LVA website, determine the appropriate Records Retention and Disposition Schedule for the boxes listed on the Records Transfer Lists, to determine an accurate retention period for the boxes.
- If schedule numbers are listed on the Records Transfer Lists, ensure the retention schedule references remain accurate and date ranges provided are compliant with the retention period for destruction.
- Visit the Records Center to research boxes to provide the correct information needed to create a Certificate of Records Destruction which is now done in electronic format and known as an e-RM3 form.
- Create eRM-3 form(s) using the data collected and submit to the records coordinator of each department / division authorized to review.
- Using the data on the Records Transfer List and eRM-3 form, create a destruction work order in TR to be used by warehouse staff to pull boxes for destruction from the shelves.
- Maintain e-mails specific to confirmation of eRM-3 forms from the Library of Virginia.
- Track the eRM-3 form which is timed by the Library of Virginia (LVA) for 70 calendar days at each step.
- Answer phone and respond to questions from internal customers regarding records management and external individuals directing them to the correct department / division if they have reached us in error.
- Respond to questions / concerns from warehouse staff concerning work orders or other tasks.
- Create daily work orders for requests (retrievals, refiles, additional filing, etc.) that come in via e-mail and / or telephone as required.
- Respond to questions and assist staff with procedures / steps for creating various types of work orders as well as capabilities / tricks in the TR.
- As assigned, Standard Operating Procedure (SOP’s) for the Records Management tasks.
