Administrative Assistant (Bilingual Required)
Classification: Non-Exempt, Full-Time, Non-Safety-Sensitive
Minimum Starting Salary: $16.50 - DOQ
Job Summary:
The administrative assistant will perform clerical duties and ensure the office operates efficiently. Administrative assistants will report directly to the office supervisor/manager and will assist with administrative functions.
Administrative assistants are generally scheduled to work Monday-Friday, 8am-5pm, and may be assigned to one or more departments within the office
Essential Responsibilities:
1. Answer telephones, take messages, return calls, and schedule appointments in both English and Spanish.
2. Prepare and submit reports, correspondence, and other documents as necessary.
3. Maintain confidential database and systems for tracking client/employee information (e.g. personal information, plans of care, trainings, criminal background checks, automobile insurance, visit verifications, etc.); data entry.
4. Collect documents, input data into database, and ensure accuracy.
5. Assist with caregiver schedules for assigned office; coordinate substitutes.
6. Monitor office supplies and submit inventory requests to Supervisor/Office Manager.
7. Understand and comply with Abarim Home Healthcare, Inc. policies and procedures.
8. Perform other duties as necessary or as requested by supervisors/managers.
Physical Demands:
1. Requires the ability to lift, carry, and pull up to 30 lbs. or more.
2. Requires full range of motion to bend and lift, pull, and carry objects.
3. Ability to periodically walk, stand, stoop, bend, reach and sit for prolonged periods of time.
4. Common eye, hand, and finger dexterity are required for most essential functions.

Working Conditions:
1. Work is primarily performed in a typical office setting with appropriate climate controls.
2. Hours include standard office hours; may require occasional non-standard hours when needed.
3. Ability to attend functions and travel to other Abarim locations when required.
Minimum Qualifications:
1. At least 18 years of age at time of hire.
2. Eligible to legally work in the United States.
3. Possess a high school diploma, GED, or ability to demonstrate equivalent knowledge.
4. Ability to pass background check.
5. Able to read and write in English and Spanish and follow direction clearly in both languages.
6. Experience using common office equipment such as a computer, telephone, facsimile, scanner, copier, printer; and to learn how to operate new equipment as needed.
7. One year of experience with common office software such as Microsoft Word and Excel and Gmail/Google Workspace and ability to learn other programs as necessary.
8. Ability to effectively communicate verbally in English & Spanish (REQUIRED).
9. Ability to pass trainings as required.
