Overall Responsibility:
Person will be responsible for assisting branches on facility management to help streamline and ensure proper maintenance is being performed, documented and approved. Person is also responsible for defining the authority, accountability, reporting relationships, responsibilities, and measures the performance of field & NSC facility construction/showroom projects.
Essential Duties and Activities:
Inspections
- Review, identify, track, and report on specific inspection submitted by field in E Maint
- Answering phone calls and assisting with problem resolution on facility issues
- Providing administrative support, guidance and training to fellow associates and field
Showroom fixture project administration as assigned
- Fixture order placement
- Email notifications to field including assembly instructions where applicable, copy appropriate NSC associates
- Fixture order invoice compilation and processing with appropriate NSC accounting department
- Asset reconciliation
Stage 3 construction contract administration as assigned
- Verifying contract documentation (subcontractor/supplier listing, lien waivers, affidavits, close-out) requested has been received, follow up where needed
- Document receipt of construction contract change orders
- Record payment of construction contract invoices and send out waiver/affidavit
Stage 2 short form construction contracts requested by NSC internal departments (Construction Services or Facility Management) as assigned
- Participates in and understands projects
- Reviews internal funding approval
- Coordinates construction contracts based on dollar amount or scope of work and ensures contractors meet the terms of the contract prior to the start of the work
- Entry of insurance certificates for associated contractors with notification to Project & Contract Specialists of any issue
- Distributes and collects copies to applicable parties for signature by required parties when applicable
