Job Title: Student Services Support Staff; Full Time 12-Month - Westside District Office


Department: Student Services

Reports To: Director of Student Services

JOB SUMMARY:

Responsible for managing student enrollment processes and coordinating bus transportation for the school district. This position requires maintaining accurate databases, assisting with scheduling bus routes, handling enrollment paperwork, and providing administrative support to district staff. The ideal candidate will possess strong organizational, communication, and customer service skills, along with proficiency in Microsoft Excel, Word, and Google systems.

KEY RESPONSIBILITIES:

Enrollment & Database Management:

  • Process and maintain student enrollment records and documentation, ensuring compliance with district policies and state regulations.
  • Ensure accurate data entry and updates wihtin PowerSchool and other district databases.
  • Assist families with enrollment paperwork and provide guidance on district policies.
  • Generate reports and maintain confidential student records.
  • Support transition process for students transferring in and out of the district.
  • Utilize Microsoft Excel for data tracking and reporting.

Transportation Coordination:

  • Assist in planning and sceduling bus routes to optimize efficiency.
  • Coordinate with transportation providers and district staff to ensure student safety.
  • Address and resolve transportation-related concerns from families and staff.
  • Maintain transportation databases and ensure accuracy of route assignments.

Administrative & Customer Service Support:

  • Assist with drafting and mailing letters, notifications, and other district communications.
  • Provide support to administrators and staff in enrollment and transportation matters.
  • Respond to inquiries from parents, staff, and community members via phone, email, and in-person communication.
  • Maintain confidentiality and professionalism while handling sensitive student information.

QUALIFICATIONS & SKILLS:

  • Proficiency in PowerSchool and other student information systems.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication abilities.
  • Customer service experience with the ability to interact professionally with families and staff.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Experience in school enrollment, transportation coordination, or a related field preferred.
  • Strong proficiency in Microsoft Excel, Word and Google systems (Docs, Sheets, Forms and Gmail).
