JOB SUMMARY:
This position provides secretarial support to counselors and other staff. The position includes interacting with students and visitors to the counseling office, maintaining confidential student files and performing a variety of other office and secretarial duties to support counseling office operation. The position promotes positive public relations for the district.
DUTIES AND RESPONSIBILITIES:

- Works cooperatively with other counseling office staff to coordinate the operation of the office. Serves as receptionist; answers and responds to telephone and in-person inquiries from staff, students, parents, and the public. Provides information or routes calls to appropriate staff members; takes messages. Arranges appointments for students and parents.
- Processes bulletins, forms, letters, lists, newsletters, schedules and other correspondence; formats, duplicates and prepared for distribution or mailing.
- Organizes materials in counseling office; provides information to students as requested. Maintains materials, files and checkout list.
- Assists students with class schedules.
- Performs registrar duties including registration and withdrawal of students, receiving and forwarding student records, etc.
- Responsible for generating student enrollment reports for Office of Superintendent of Public Instruction.
- Coordinates work of student helpers assigned to office; assigns and reviews work.
- Administers student medications and maintains accurate records related to student medication.
- Provides first aid medical care to ill or injured students; arranges for transportation home as necessary.
- Requests homework assignments for students who are out ill for prolonged period; gathers books as necessary; maintains contact with classroom teacher.
- Operates a computer to enter and update student information and schedules; prints lists and prepares information from records for counselors.
- Assists in recording, distributing and filing standardized testing materials.
- Provides back up to other secretaries as needed. Performs other clerical duties for school administrators as requested.
- Assists with coordination of student activities and athletics.
- Assists with coordination of student fundraisers including student store.
- Preparation of ASB deposits and basic accounting.
- Coordinates parent volunteer activities.
- Performs related duties as assigned.
MINIMUM QUALIFICATIONS
KNOWLEDGE/SKILLS/ABILITIES:
- High school diploma or equivalent and applicable college or business school training required.
- Knowledge of general secretarial procedures.
- Knowledge of correct grammar, spelling and English usage.
- Keyboarding, word-processing, editing and formatting skills, 60 wpm.
- Ability to establish and maintain spreadsheets and workbooks in Excel.
- Skill in operating general office machines.
- Ability to learn and willingness to use computers and various software programs.
- Ability to set up and maintain an accurate filing system.
- Ability to work independently with minimal supervision.
- Ability to maintain confidentiality.
- Ability to establish and maintain effective working relationships with students, parents, staff and the general public.
- Effective oral communication skills.
- Ability to screen and treat minor student illnesses or injuries.
- Ability to attend to detail and follow tasks through to completion.
- Ability to organize and set priorities.
- Ability to work under pressure and be flexible.
- Ability to meet deadlines.
LICENSES/SPECIAL REQUIREMENTS:
Required to complete first aid training and CPR training. Employment contingent upon Washington State Patrol and FBI clearance and the payment of any applicable fees.
