Position: Operations Assistant
Program Assignment: Operations
Supervisor: Director of Maintenance
Job Summary: The Operations Assistant ensures the day-to-day upkeep of the organization's physical facilities, including residential and commercial properties. This role involves conducting inspections, performing maintenance, supervising technicians, and ensuring compliance with safety standards. The Operations Assistant will regularly report to the Director of Operations on project scheduling, costs, and progress.
Schedule: Full-time, non-exempt (40 hours per week). Monday through Friday, 8:30 AM – 5:00 PM.
Essential Functions:
- Inspect facilities monthly to identify safety concerns and prioritize repairs.
- Conduct preventative maintenance tasks and assess fixed assets and existing equipment.
- Perform basic repairs in electrical, plumbing, carpentry, and painting.
- Coordinate larger system repairs or maintenance with external contractors (with supervisor approval).
- Ensure HVAC, lighting, and ventilation systems are functioning efficiently.
- Utilize software to manage and track project progress and work orders.
- Schedule repairs and communicate with stakeholders, such as program managers, about the impact of maintenance activities.
- Assist with fleet maintenance and traffic control support.
- Oversee and guide a team of maintenance technicians.
- Perform on-call duties for after-hours emergencies as needed.
- Perform snow removal, landscaping, and general exterior maintenance.
- Manage petty cash for necessary supplies and tools.
- Maintain work areas, tools, and the assigned vehicle in a neat and orderly manner.
- Record all tasks in the organization’s work order system.
- Work closely with leadership, program directors, and house managers to meet organizational needs.
Qualifications
- High school diploma, equivalency, or demonstrated ability to communicate effectively verbally and in writing may substitute for a diploma if experience requirements are met.
- At least 3 years of successful experience in building maintenance, construction, or a related field.
- Commercial experience preferred.
- Valid driver’s license.
- Ability to lift at least 75 lbs.
- Good physical condition, including the ability to access roofs, crawl spaces, and other challenging environments.
- Knowledge of building repairs, including electrical, plumbing, carpentry, and painting.
- Strong troubleshooting and problem-solving skills.
- Familiarity with safety regulations, including ADA and state/federal requirements.
- General understanding of budgeting and accounting principles.
- Proficiency with Microsoft Outlook, Excel, Word, and PowerPoint.
- Experience with work order systems is a plus.
- Effective organizational skills and ability to manage multiple priorities independently or in a team setting.
