Abilities First is seeking an Administrative Assistant for our Middletown Educational Center. The Administrative Assistant will perform operational and secretarial tasks to maintain order and business within the school programs. Excellent judgement in following school protocols and a positive approach in working with staff and visitors to the school. The Administrative Assistant is responsible for secretarial support for the school administrator.
This is a fulltime 40 hour a week position for 52 weeks a year.
Salary: $17.90 – $18.90
Responsibilities may include but are not limited to:
- Supports Principal in daily school operations, as requested. This may include gathering information for State reports, compliance documents, and/or other pertinent records.
- Acts as a liaison between our building and Agency departments.
- Supports Principal with tasks related to students Special Education needs and record maintenance or data collection including but not limited to IEPs, student reports, and attendance.
- Assists with fluid communication of IEP information to various team members, as requested.
- Collect and process all billing contact hours from therapists monthly to business office.
- Maintain contracts for staff that work outside of the school day.
- Oversees all aspects of school petty cash, documentation, and records of budgetary items.
- Copies and distributes letters written to staff and/or families. This includes translating or distribution of translated documents, as needed.
- Coordinates all communication and documentation with vendors including scheduling services appointments for repairs, maintaining logs of services or needs, and assisting with placing orders, as needed.
- Secures doors at beginning and end of school day.
- Maintains building records such as Emergency Manuals and drill logs
- Building Safety team member.
- Prepares letters and other appropriate job-related activities as required by the school principal and professional staff.
- Ensure all required trainings and certifications required are current and seeks further support and training where needed.
- Adhere to agency Code of Legal and Ethical Behavior, which require all employees, consultants, board members, volunteers and affiliates to perform their responsibilities according to ethical and legal standards with honesty, integrity, fairness, good faith and respect for others and the law.

- Performs other appropriate job-related activities as requested by your supervisor or as circumstances warrant.

- High School Diploma or equivalent.
- Minimum of four (4) years of secretarial/clerical experience required.
- Graduate from Business School, or associate’s degree in computer science, data management or a related field preferred.
- Must be able to multitask and have excellent attention to skills concerning details.
- Must have a current NYS driver’s license, free of moving violations; deemed acceptable by our insurance carrier.
