JOB OVERVIEW:
Under the general direction of applicable department leaders and the Operations Manager, the Scheduler performs a variety of administrative and operational tasks to ensure the smooth functioning of the Medical Rehabilitation department. The scheduler is responsible for supporting the therapy teams and patients through daily schedule navigation, organization and enhancement of operations through schedule system implementation, and maintaining a high level of professionalism and confidentiality.
JOB RESPONSIBILITIES:
- Scheduling: Coordinate with therapy team and therapy managers to ensure patients have meaningful schedule. Maintain master schedule workbook of all patient schedules. Assist with cancellations, no shows, rescheduled therapy and groups. Coordinate pool schedule referrals across teams and systems.
- Communication: Serve as a point person for scheduling concerns. Coordinate cancellations, no shows, and rescheduling needs with appropriate team members. Utilizes variety of communication methods including Teams, email, phone and in-person.
- Support Duties: Support Outpatient Case Manager and therapy team by coordinating scheduling for patients after evaluation. Maintains weekly attendance of all outpatients to support budgeting and scheduling needs.
- Data Management: Utilize Electronic Medical Records(EMR) fir patient scheduling and documentation. Maintain Excel spreadsheets for schedule tracking and attendance. Ensures interfacility pool scheduling system is updated.
- Customer Service: Demonstrate quality customer service, maintaining respectful and positive communication with patients, clients, referral sources and visitors. Address and resolve concerns promptly.
- Team Support: Promote teamwork and assist with departmental projects as needed. Attend relevant meetings to discuss and adjust patient schedules and department operations.
- Compliance: Ensure compliance with all policies including Ethical Conduct and HIPAA Policies of Ability KC. Maintain patient/client confidentiality at all times.
- Miscellaneous Duties: Perform other duties as assigned to support the organization's objectives and enhance departmental efficiency.
JOB QUALIFICATIONS:
REQUIREMENTS:
- Bachelor's degree or Associate's degree from an accredited college or university in a related field (e.g., business, logistics, communications, marketing) preferred or relevant work experience. High school diploma or GED required.
- 3-5 years of work -related experience in a healthcare related office setting and interfacing with patients.
- Proficiency in Microsoft Word, Excel, Teams, and Outlook.
- Strong initiative and ability to grow within all aspects of responsibilities.
KNOWLEDGE/SKILLS/LICENSURE/CERTIFICATION:
- Good knowledge of correct English grammar, spelling and punctuation skills.
- Ability to operate standard word processing packages.
- Comfortable with public contact and working with persons with disabilities.
- Knowledge of medical terminology and strong organizational skills desired.
PREFERENCES:
- Experience working within a healthcare-based organization and knowledge of associated regulatory protocols, electronic medial record systems, and knowledge of medical terminology.
- Experience working with individuals with disabilities.
